Owen Reed is looking for a Legal PA for a top law firm in London.
This is an excellent opportunity for an experienced Legal PA to join a highly regarded Real Estate team, providing high-level support to fee earners within a busy Commercial Property environment.
The successful candidate will be proactive, highly organised, and confident managing multiple priorities while delivering exceptional support in a fast-paced professional services setting.
The Role
As a Legal PA within the Real Estate team, you will play a key role supporting fee earners with a wide range of administrative, client, and transactional responsibilities. You will work collaboratively within a supportive PA team while maintaining a professional and client-focused approach at all times.
Key Responsibilities
✔ Supporting client onboarding processes, including opening new matters, compliance procedures, KYC checks, engagement letters, and monies on account
✔ Managing fee earners’ inboxes, monitoring and prioritising emails, responding where appropriate, and filing correspondence within iManage
✔ Diary management, arranging meetings, coordinating travel, video calls, room bookings, and preparing meeting materials
✔ Liaising with clients, agents, lenders, and third parties in a professional and efficient manner
✔ Producing and amending legal documents using BigHand digital dictation, including track changes, comparisons, and proofreading
✔ Managing workflows with the Document Production Centre
✔ Uploading and downloading documents via Filesite and data rooms
✔ Preparing engrossments, completion documents, and supporting electronic signing processes via DocuSign
✔ Conducting commercial property searches using Land Registry, Search Acumen, TM Group, OS1/OS2, and OCE platforms
✔ Preparing and submitting Land Registry applications and handling requisitions
✔ Assisting with billing, finance requests, CHAPS payments, completion statements, and financial reporting
✔ Coordinating travel bookings including trains, flights, and hotels
✔ Supporting business development activities, pitches, events, and client communications
✔ Managing deeds, file closures, and archiving processes
✔ Providing wider team support during periods of absence where required
About You
✔ Previous experience working as a Legal PA within a professional services or law firm environment
✔ Strong Real Estate or Commercial Property experience
✔ Advanced document production and formatting skills
✔ Strong working knowledge of BigHand, iManage, Elite 3E, and Microsoft Office
✔ Excellent typing speed and accuracy (75wpm+)
✔ Strong organisational and time-management skills
✔ Ability to manage competing priorities under pressure
✔ Excellent communication and stakeholder management skills
✔ Proactive, adaptable, and solutions-focused approach
✔ Strong attention to detail and commitment to delivering high-quality work
