Job Summary
We are seeking a detail-oriented and proactive Office & Finance Assistant to join our dynamic team. The successful candidate will play a vital role in ensuring the smooth operation of our office by providing administrative support and assisting with various tasks. This position is ideal for individuals who thrive in a fast-paced environment and possess excellent organisational skills.
Duties
* Manage all accounting operations including Accounts Receivable, Accounts Payable, Bank Reconciliations, and General Ledger for all WAY Group businesses;
* Assisting in the preparation of financial statements and reports, and providing data for forecasting and budgeting;
* Bank payments and reconciliations;
* Ensuring compliance with company policies, procedures, and financial regulations;
* Maintaining organized financial files, managing expense reports, and providing general support to the finance team.
* Ensuring that all aspects of the office administrations are covered including contracts renewals and stationary orders;
* Coordinate maintenance and repairs, manage office supplies and equipment, ensure a safe and compliant working environment, and oversee the allocation of office space;
* Developing, implementing and updating office policies and procedures;
* Coordinating with external suppliers and contractors for maintenance and services;
* Preparing reports and presentations for senior management;
* Organise internal events;
* Ensuring compliance with office health and safety policies;
* Deal with correspondence and queries;
* Serve as a primary contact for visitors and external parties.
Skills
* Strong organisational skills with the ability to prioritise tasks effectively.
* Excellent verbal and written communication skills, with a keen attention to detail.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
* Ability to work independently as well as collaboratively within a team environment.
* A proactive approach to problem-solving with strong analytical skills.
* Previous experience in an administrative role is advantageous but not essential.
