Overview
We are seeking a highly organized and detail-oriented Marine Underwriting Operations Coordinator to provide dedicated support to a Senior Marine Underwriter. This role will initially focus on underwriting support and administrative execution, with a clearly defined expectation to grow into broader underwriting operations and coordination responsibilities as the business and a marine facility continue to develop.
This position is ideal for someone who is operationally strong, comfortable with technology and digital organization, and interested in growing into a more expansive coordination role over time.
Role Structure & Growth Path
This role is intentionally structured in phases:
* Phase 1 (Initial Focus): Dedicated underwriter support, document management, and task tracking
* Phase 2 (Role Expansion): Broader underwriting operations coordination, bordereaux tracking, and facility operations support
Key Responsibilities
Phase 1: Underwriter Support (Initial Responsibilities)
* Provide day-to-day operational support to the Senior Marine Underwriter
* Monitor and manage shared email correspondence, including organizing, filing, and tracking communications
* Digitally file, organize, and maintain underwriting and policy-related documentation
* Retrieve files, correspondence, and information quickly upon request
* Track tasks, deadlines, and follow-ups to ensure timely completion
* Assist with the preparation and organization of underwriting submissions and related materials
* Maintain orderly, accurate, and audit-ready digital files
Phase 2: Operations Coordination (Expanded Responsibilities as Role Grows)
* Assume ownership of the underwriting file organization and ongoing maintenance
* Assist with intake, tracking, and organization of bordereaux and related documentation
* Maintain logs, trackers, and status reports for underwriting and operational activities
* Support basic reconciliation and reporting related to bordereaux and facility operations
* Track operational tasks and deadlines related to the marine facility
* Act as a coordination point to ensure assigned operational items are completed on time and properly documented
* Help standardize processes, checklists, and documentation as operations mature
Required Qualifications
* Fluent, professional-level English (written and spoken)
* Availability during U.S. Eastern Time business hours
* Strong organizational and time-management skills
* High comfort level with email, document management systems, and cloud-based tools
* Proven ability to track multiple tasks and follow through independently
* Strong attention to detail and accuracy
* Ability to work effectively in a fully remote environment
Preferred Qualifications
* Prior experience in insurance, underwriting support, or operations
* Exposure to marine insurance, underwriting workflows, or policy documentation (preferred but not required)
* Experience supporting senior professionals in an operational or coordination capacity
* Familiarity with bordereaux or insurance reporting structures
* Experience working in a growing or startup environment
