The Opportunity
Due to continued growth, we have a new opportunity for a Group Facilities Partner. This role will support the Operations Team with various Facilities and H&S administrative tasks, serving as the central point of contact for our businesses regarding facilities services and H&S documentation. You will join our supportive and knowledgeable Operations team, gaining insight into the operations of our network of over 30 offices across the UK and their individual facilities requirements.
Key Responsibilities
1. Overseeing the collection of utilities and H&S contracts for all regional and newly acquired offices, and updating our compliance portal.
2. Updating fire warden & first aid, MHFA certificates, and site inspection reports on our compliance portal.
3. Maintaining master spreadsheets and checklists for each branch.
4. Collating monthly utility meter readings, liaising with Auditel, and processing bills.
5. Managing group-wide stationery and office consumables contracts.
6. Collaborating with office ambassadors to ensure best practices for facilities and H&S administration.
7. Liaising with H&S consultants for office audits and ensuring follow-up actions are completed.
8. Arranging services such as PAT testing, boiler servicing, fire alarms, air conditioning servicing, asbestos, and legionella checks.
9. Coordinating weekly/monthly fire drills and maintaining up-to-date certified wardens.
10. Onboarding new sites with all necessary H&S and facilities documentation.
11. Updating the H&S manual and distributing it across the group.
12. Maintaining H&S and Facilities pages on the intranet.
13. Managing waste and recycling arrangements.
14. Arranging access controls for new starters.
15. Logging building issues with landlords and supporting resolution actions.
16. Performing general administration and identifying operational efficiencies.
Candidate Requirements
* Experience in facilities management or administration.
* High attention to detail and accuracy.
* Knowledge of office H&S policies and procedures.
* Effective communication skills for liaising with stakeholders.
* Self-motivated with the ability to work independently.
* Friendly, approachable, and customer-focused attitude.
* Strong organisational skills and record management.
* Local to Guiseley, as the role is primarily office-based.
