Office Administrator & Personal Assistant to Head of Office and Region
Weybridge, Surrey
Our client is an upmarket, global real estate agency with an enviable reputation and an international network of offices. They are currently recruiting for an Office Coordinator & PA to join their busy sales team in Weybridge.
Your role will include managing the daily running of the office to ensure the sales team can operate at their best, providing the first-class service for which our client is renowned.
This is a varied role suited for someone who is organized, self-motivated, with exceptional attention to detail. Candidates should have at least 1 year of experience in property administration and be able to work effectively both independently and in a team.

Responsibilities include:
* Handling sensitive information confidentially
* Being a key contact between the office, regional coordinator, and support departments
* Managing all enquiries as the first point of contact
* Ensuring office compliance with company standards and audit targets
* Managing property marketing processes, including ordering photos and floorplans, updating CRM (Reapit), creating brochures, and engaging on social media
* Recording staff sickness, timesheets, and holidays
* Issuing sales invoices, processing supplier invoices, and managing petty cash
* Supporting diary management for the team
* Preparing agendas and minutes for weekly sales meetings
* Assisting with planning and delivering local events
* Onboarding new starters
* Ensuring compliance with signed terms of business, preparing agency agreements, and liaising with compliance teams
* Adhering to ISO, anti-money laundering, health and safety policies, and the company code of conduct
Personal requirements:
* At least 1 year of property administration experience
* Strong administration skills
* PA experience is advantageous
* Confident with Reapit and FluxPro
* Experience working with high-net-worth individuals
* Ability to multi-task effectively
* Excellent written and verbal communication skills
* Ability to work well in fast-paced environments both independently and as part of a team
* Strong organizational skills
* Excellent telephone manner
The salary for this role ranges between £34,000 and £35,000, plus a discretionary annual bonus. Benefits include 25 days holiday plus bank holidays, Christmas and New Year off, pension, private health insurance (post-probation), life assurance, discount portal, and more!
