Overview
We are seeking an organised, resourceful, and proactive Procurement Coordinator to support our hospitality operations. In this role, you will assist in sourcing, purchasing, and managing supplies while ensuring cost-effectiveness, quality, and timely delivery. You'll work closely with suppliers, track orders, and coordinate across departments to keep our venues, hotels, and events running smoothly. This position is ideal for someone with strong attention to detail, excellent negotiation skills, and the ability to thrive in a fast-paced hospitality environment.
Duties and Responsibilities
* Assist in sourcing and purchasing food, beverages, furnishings, equipment, and other hospitality supplies.
* Previous experience in procurement, purchasing, or supply coordination (hospitality experience preferred).
* Strong research and negotiation skills with the ability to evaluate supplier offers.
* Good organisational skills with an eye for detail.
* Proficient in Microsoft Office and familiar with inventory/procurement software.
* Comfortable attending industry events and building professional networks.
* Ability to manage multiple priorities in a fast-paced environment.
* Diploma or degree in Business, Hospitality Management, or Supply Chain is an advantage.
* Attend trade fairs, supplier demonstrations, and industry shows to research new product lines and potential suppliers.
* Review supplier catalogues, assess market trends, and recommend products or services that meet operational and customer needs.
* Assess budgetary limitations and decide on the quantity, type, and quality of goods or services to be purchased.
* Request, compare, and assess supplier bids; assist in negotiations to secure competitive prices.
* Help prepare and manage supplier contracts, clearly specifying product/service requirements.
* Monitor and improve supply chain processes, presenting ideas for cost savings and efficiency gains to senior management.
* Ensure delivered items match order specifications; monitor quality, arrange returns for unsatisfactory goods, and track supplier performance.
* Supervise clerical, administrative, and warehouse/distribution staff where required, including training and recruitment support.
* Work closely with merchandisers to allocate stock effectively and contribute to accurate sales forecasting.
* Maintain procurement records and prepare regular reports on purchasing activity, supplier performance, and market conditions.
* Ensure compliance with company policies, hospitality industry standards, and relevant regulations.
