Summary
We are seeking an organised and proactive Office Manager to join our dedicated team. This pivotal role will oversee key administrative functions, ensuring smooth day-to-day operations and compliance with regulations such as GDPR and Health & Safety.
This a job-share role, working 18.75 hours per week over 2.5 days, ideally Monday to Wednesday. The salary is £14,430 for 18.75 hours, based on the full-time equivalent salary £28,860.
Responsibilities
* Lead projects to improve administrative processes.
* Handling incoming calls, directing them to the appropriate departments or individuals, and providing basic information. Lead projects to improve administrative processes.
* Manage facilities including contracts and renewals e.g. for utilities and services etc.
* Manage Health & Safety, ensuring compliance with current regulations, with support from the SLT.
* Manage office resources for staff e.g. stationery, equipment, subscriptions.
* Ensure appropriate records are maintained to ensure the safeguarding of assets, including key logs, equipment records, risk assessments, fire checks, etc.
* Maintaining records, paper and digital, and ensuring easy access.
* Support and develop volunteer administration team.
* Liaise with contractors and arrange works.
* Ensure a safe and tidy working environment for all staff.
Support the Senior Leadership Team and Board of Trustees
* Prepare and circulate papers for relevant meetings.
* Take minutes for leadership, Trustee and committee meetings.
* Support and liaise to ensure deadlines are met.
People Services
* Perform IT inductions for new staff
* Ensure new staff are issued with the equipment required
* Maintain user accounts and access to Microsoft software
* Liaise with IT support if required, to support staff with technical or equipment issues
* Correspond with staff across the organisation to data and provide support, where necessary.
What We're Looking For:
* Excellent administrative skills.
* Excellent interpersonal verbal and written communication skills to build positive relationships both internally and externally.
* Highly organised, with good attention to detail and accurate record-keeping.
* Demonstrable initiative and determination, good problem-solving skills with willingness to take accountability for work.
* Responsible for managing own workload effectively, including meeting deadlines, fulfilling job duties and expectations, and demonstrating accountability within the organisation.
* Handles confidential and sensitive information with the highest level of discretion and integrity.
* Self-motivated with the ability to work alone and cooperatively within a small team.
* Excellent computer skills: confident using Microsoft, email, internet etc.
* Experience of writing, reporting and minute taking.
