Operations Administrator
Location: Sandwich (hybrid)
Salary: £24,000 FTE
Hours: Part time of 20 to 30 hours a week
We are recruiting for an experienced Operations Administrator to support clinical operations and play a key role in the smooth running of the UK clinic network.
About the role:
Reporting to the Operations Manager, you'll help organise clinic schedules by coordinating staff and clinic availability, and keeping systems and communications up to date. You'll work closely with clinical staff and external partners, so clear communication and strong problem-solving skills are key.
Key responsibilities:
Coordinating clinic capacity by arranging Practitioners, Chaperones (internal and agency), and clinic locations
Managing chaperone bookings and maintaining the Chaperone Booking Spreadsheet
Liaising with clinics to ensure equipment, resources, and staffing are in place for appointments
Monitoring clinic stock and equipment, managing delivery schedules, and acting on equipment faults
Updating systems daily and maintaining accurate clinical and operational records
Supporting the complaints process by recording and tracking cases and liaising with relevant parties
Sending urgent GP referrals and managing insurer details for patient bookings
Supporting the wider Patient Services team with call handling, appointment bookings, and aftercare enquiries during peak times or absence coverPerson specifications:
5+ years' experience in operations administration or a similar role (experience within health services is desirable)
High level of organisation, planning, and attention to detail
Strong communication skills and confidence engaging with stakeholders at all levels
Proficient in using digital systems and updating data accurately across platforms
