Working Hours: Monday to Friday 9.00 am - 17.00 pm (40 hours per week)

About the role
Role Overview:
We have a fantastic opportunity to join our team, working closely with the Assistant Facilities Manage on site in Newcastle, ensuring compliance with the agreement between EMCOR UK and the client.
As a Facilities Co-ordinator, you'll provide administrative support to ensure that our workflow is delivered effectively and efficiently.
What you'll do:
1. Adherence to all EHS and client processes in a multi-use environment
2. Proactive management of helpdesk tasks and ensuring SLA achievement
3. Responsible for the day to day management of all soft services
4. Overseeing & covering reception duties when required
5. Carry out administrative duties for facilities which include KPI Auditing, collating records of quotations and formulating minutes of meetings
6. Assist the FM to ensure all finance processes are followed and records kept up to date with regards to extra works quotations and budget management
7. Ensuring all soft services & M&E log book processes and procedures are achieved
8. Support the M&E Supervisor with ensuring the CAFM System and Asset Management database is kept up to date and regularly review
9. Maintain and control stock levels of PPE, Office Stationery/Equipment
10. All aspects of administration requirements for the FM team
11. Develop and maintain relationship with suppliers and subcontractors
12. To ensure that clients are subjected to minimum disruptions whist FM works are carried out, leading communication distribution when required
13. Act upon reasonable requests and instructions from the client, customer and peers/colleagues from all departments/service lines
14. Assist the Operations Manager in administration duties for the account
15. Assistance on other sites can be expected
Who you'll be:
16. Full driving license (desirable)
17. Strong command of written and spoken English
18. Knowledge of key operational procedures, e.g. supplier control, procurement, Health & Safety (IOSH Managing Safely & SIA license preferred but not essential as training will be provided)
19. Line management/supervision of personnel
20. Well organised with the ability to prioritise workloads
21. Previous experience in a front facing customer service skills
22. Sound administrative experience
23. Excellent IT skills including all Office 365 software
24. Willingness to travel for work as and when required
