About the Role
Powerflow Systems Pty Ltd – Mayfield West – Full‑time position.
We are seeking an experienced and motivated Workshop Supervisor to coordinate day‑to‑day workshop operations and support efficient workflow across the business. A minimum of 1‑2 years of supervisory or team leadership experience is preferred for this position.
Working closely with management, project teams, service technicians, sales, warehouse, and logistics personnel, this role is responsible for ensuring workshop activities are completed safely, efficiently, and to a high standard.
The successful applicant will possess strong organisational and communication skills, along with experience using business and scheduling systems such as Ostendo, Smartsheet, and Aussie Timesheets, and proficiency in Microsoft Office applications.
Training will be provided for Ostendo and Smartsheet for candidates who demonstrate aptitude and willingness to learn.
Key Responsibilities
Workshop Operations & Team Support
* Coordinate workshop personnel, scheduling, and workflow management
* Manage Smartsheet scheduling and monitor job progress
* Oversee timekeeping, annual leave, and staff leave records
* Conduct GCOM and toolbox meetings
* Coordinate First Aid and incident reporting processes
* Manage strip and assess activities, including preparation of quotations
* Liaise with apprentices and training organisations
* Foster a positive and supportive team environment across workshop and office staff
Customer Service & Sales Support
* Act as the primary contact for equipment overhaul enquiries
* Process customer orders and prepare quotations
* Follow up quotations to secure sales opportunities
* Support the sales team to ensure efficient order fulfilment
* Maintain strong customer relationships through professional communication
Logistics & Coordination
* Coordinate with tradespeople, apprentices, trades assistants, and customers to meet quoted delivery timelines
* Ensure equipment is manufactured or repaired within schedule
* Coordinate packing, wrapping, and shipment preparation to specification
* Monitor deliveries and resolve logistics issues promptly
Inventory & Administration
* Assist with inventory monitoring and stock control
* Investigate and reconcile stock discrepancies
* Maintain accurate documentation, invoices, and shipping records
* Prepare Ostendo job cards for invoicing by accounts and sales teams
* Ensure company procedures and records are maintained accurately
Hours
* 38 hours per week
* Monday to Friday
* 7:00 a.m. - 3:06 p.m.
* Paid overtime available
Remuneration
An attractive salary package will be negotiated based on qualifications and experience. Superannuation and applicable leave loading are included.
