We’re searching for a London, Richmond based Executive Assistant to join our Executive Support team, so that we can strengthen executive effectiveness and drive organisational performance. The Executive Assistant will partner with the UK&I President by managing core administrative operations, implementing support initiatives, and ensuring executive-level processes run smoothly. This role is critical in enabling leadership to focus on strategic priorities while ensuring administrative excellence across the organisation.



How You’ll Spend Your Time

* Manage executive calendars and scheduling to support effective time management and alignment with organisational priorities.
* Coordinate travel arrangements and expense reporting in order to ensure smooth executive mobility and accurate financial tracking.
* Prepare presentations, reports, and briefing materials to provide executives with timely, well-structured information for decision-making.
* Support office management activities to maintain facilities, vendor relationships, and compliance requirements within established processes.
* Assist in planning leadership meetings and events to ensure seamless logistics and professional execution.
* Apply and refine administrative processes to help optimise workflows and improve operational efficiency.
* Participate in stakeholder communications and relationship management to ensure effective information flow and professional standards.
* Collaborate with the Office Manager and EA team to strengthen team coordination and contribute to leadership support activities.
* Assist with project coordination and delivery to track progress, prepare documentation, and support routine change management initiatives.



What Kind of Things We’re Most Interested in You Having

* Experience as an Executive Assistant or Administrative Support professional, ideally with exposure to supporting senior leadership and executive level processes.
* Proven success in calendar management, travel coordination, and administrative project delivery, demonstrating accuracy and attention to detail.
* Knowledge of office management activities, including vendor management, facilities operations, and compliance support within structured frameworks.
* Ability to commute to Richmond 3–5 days per week, with flexibility to be in the office more often for key events or team needs.

What You Will Do:

As an Executive Assistant within our Global Executive Support team, you will assist the UK&I President by managing administrative operations that help drive executive effectiveness and support organisational performance. You will learn fundamental executive support frameworks whilst contributing to calendar management, travel coordination, and office administration activities. Working within established processes, you'll help implement administrative initiatives, track routine operational tasks, and participate in stakeholder communication to ensure our executive operations remain efficient and professional. Your work will focus on understanding systematic approaches, delivering accurate administrative support, and building productive relationships, helping successful delivery of executive initiatives at the team and departmental level.


Key Responsibilities:


Executive Partnership & Administrative Support

● Assist in managing executive calendars and scheduling by learning priority frameworks and helping coordinate routine appointments according to established guidelines.

● Help coordinate travel arrangements and expense reporting by following structured processes and tracking completion of standard administrative tasks.

● Support preparation of presentations, reports, and briefing documents by gathering information and organizing materials under guidance.




Office Management & Operational Excellence

● Participate in office management activities by helping track facilities, vendor relationships, and compliance requirements within defined procedures.

● Assist with organizing leadership meetings and events by following established protocols for catering, logistics, and on-site coordination.

● Help maintain office systems and documentation by performing routine updates and ensuring accurate record-keeping.




Process Management & Optimisation

● Learn and apply standard administrative processes by observing current workflows and helping identify opportunities for basic improvements.

● Assist with implementing process updates by following procedural guidance and tracking completion of routine optimization activities.

● Help maintain process documentation by organizing information and ensuring accuracy of departmental administrative records.




Stakeholder Communication & Relationship Building

● Participate in communication activities by helping prepare routine correspondence and assisting with information distribution to relevant stakeholders.

● Help build stakeholder relationships by participating in meeting preparation, following up on agreed actions, and maintaining professional communication standards.

● Assist in managing confidential communications by learning appropriate protocols and helping ensure sensitive information is handled properly.




Team Leadership & Mentoring Support

● Help support the Office Manager and EA team by participating in collaborative activities and learning team coordination approaches.

● Assist with team development activities by observing mentoring processes and helping track completion of routine team tasks.

● Learn leadership frameworks by participating in team meetings and helping with basic administrative coordination under structured supervision.




Project Delivery & Implementation

● Help execute assigned steps in executive support projects by following detailed guidelines and tracking completion of routine deliverables.

● Assist with project coordination by organizing information, preparing basic documentation, and helping resolve standard issues.

● Participate in change management activities by learning implementation processes and helping support routine organizational initiatives.




Essential Requirements:

● Experience as an Executive Assistant or Administrative Support professional, with exposure to supporting senior leadership and learning executive-level processes.

● Demonstrated success in managing calendars, coordinating travel arrangements, and helping deliver administrative projects with attention to detail and accuracy.

● Basic knowledge of office management activities, including understanding vendor relationships, facilities operations, and compliance requirements within structured frameworks.

● Ability to commute to Richmond 4 days a week to support in-office operations and participate in team collaboration.

● Genuine interest in learning efficient executive operations and helping foster a collaborative team culture through professional support activities.

● Capability to work proactively and learn independently within a fast-paced, professional environment whilst following established guidelines and processes.
