Hours: 30 hours per week (Flexible working required to meet service needs; additional hours as required to be paid at relevant hourly rate

Reporting to: Chair of Board (Line Manager) & Board of Trustees

Responsible for: Cooks, House Assistants, Kitchen Assistants

About the Role

As House Manager, you will oversee the day-to-day operations of the House, ensuring a safe, welcoming, and high-quality environment for residents. You will embody Abbeyfield's values of Caring, Openness, Honesty, and Respect in all interactions with residents, staff, and visitors. Your approach will be resident-focused, respecting their wishes and preferences, and maintaining high standards.

Given the small team and the need to work flexibly, it is likely that there will be occasions where you may need to cover cooking and cleaning responsibilities.

Key Responsibilities

* Engage with residents and relatives regarding accommodation and maintenance, resolving issues professionally and effectively.
* Lead the admissions process for new residents, including needs and risk assessments.
* Alert the House Convenor to individual resident's needs and potential risks and ensure appropriate support is accessed by the resident's nominated person.
* Alert any resident's nominated person regarding any health or well-being concerns about the resident
* Comply with and implement all resident-related policies.
* Report safeguarding concerns to the Chair of Board.
* Effectively manage relationships with care providers and other professionals
* Act as the main point of contact for relatives / friends of residents

Catering

* Supervise and agree menu with relevant staff member and ensure good quality meals are provided for residents, taking in to account individual dietary requirements of residents
* Order and arrange for delivery/collection of all foodstuffs working within agreed budget.
* Ensure all kitchen equipment is maintained and in working order liaising with the appropriate member of the Board as required
* Ensure kitchen practices meet environmental health standards.
* Develop and publish menus for residents
* Undertake cooking and kitchen duties as required

Environment & Property

* Ensure cleanliness and tidiness of communal areas and gardens, managing appropriate service providers as required.
* Ensure house security and coordinate repairs in line with service standards and budget.
* Observe fire safety regulations and conduct regular fire alarm practices.
* Ensure all Health & Safety requirements are fully complied with and that First Aid Boxes are kept appropriately stocked.
* Report property damage or repairs to the Lead Trustee for Property.
* Ensure that all relevant policies are implemented and updated in relation to the House and the property

Staff Resourcing & Supervision

* Prepare staff rotas to ensure adequate cover
* Manage and supervise house staff, ensuring quality service.
* Oversee efficient handover processes and address performance issues proactively.
* Conduct regular supervision and team meetings, maintaining personnel records.
* Identify training needs and arrange appropriate training, liaising with relevant Board member.
* Oversee and assist with staff recruitment.

Finance & Administration

* Maintain accurate records (daily purchases/receipts, logbook, menu book, inventory, incident and accident books).
* Ensure purchases are within allocated budgets and communicate budgets to staff.
* Assist with drafting policies for Abbeyfield.
* Provide staff hours on monthly basis for payroll processing.
* Maintain staff records including details of holiday entitlement, etc.
* Prepare and present reports to Board meeting
* Pro-actively provide Board with proposals to improve the service and delivery of Abbeyfield's values for the benefit of the residents.

Volunteers

* Support and induct volunteers, ensuring their participation enhances residents' services and aligns with Abbeyfield values and policies.

What You'll Need

* Compassion and understanding of older people's needs.
* Excellent communication and interpersonal skills.
* Effective leadership and staff management skills
* Good literacy and numeracy skills
* Strong team player with the ability to prioritise workload.
* Basic competence in computers and IT applications.

Desirable

* Experience in a similar role within services for older people.
* Passion for helping and supporting others.
* Current driving licence, with access to car.
* First Aid Certificate.
* Food Hygiene Certificate. xpwpeyx
