Service Advisor

We are recruiting for a Service Advisor to join the team of one of our clients based in Ballyclare. The client is the sole Volvo Truck & Bus dealer and leading provider of heavy commercial vehicles in Northern Ireland.
This position will be based at the main Ballyclare depot and will be a 47 hour week, with normal hours of work organised by rota in advance. The rota will cover out customer demands currently:
1. Monday to Thursdays 8am - 2100
2. Friday's from 8am to 1800
3. Saturdays from 8am to 1400
4. Some flexibility will be expected outside of these hours as needed due to operational requirements.
Key Duties & Responsibilities:
5. Bring the first line of contact for customers, greeting them in a courteous manner and interpreting their requirements
6. Generating, amending and updating service schedules and sending reminders
7. Vehicle and customer database management
8. Booking PSV appointments
9. Issuing workshop job cards and monitoring progress of vehicles in workshop
10. Processing and closing out workshop job cards and assisting with invoicing
11. Making outbound sales and customer care calls and managing key customer relationships
12. Creating maintenance contract quotes and selling maintenance contracts
13. Liaising with Workshop Foreman for job planning, to ensure efficiency and profitability
14. Contacting customers to inform them of any additional work required and providing accurate quotations to gain the necessary authority to complete the work
15. Contacting customers upon job completion, competently explaining the work that has been carries out and arranging vehicle collection/ delivery
16. Ensuing customer satisfaction at all times through delivery of the Volvo Customer Commitment's assisting with customer follow up to ascertain service level satisfaction and ensuring that all customer complaints are handled courteously and efficiently
17. Other general administration duties, such as running various daily, weekly and monthly reports, scanning and filling paperwork, record archiving and general word processing
Required Criteria:
18. Be educated to GCSE standard or equivalent, including Maths and English
19. Possess extremely strong administration skills
20. Possess excellent organisational skills and the ability to adapt to changing circumstances
21. Possess the ability to communicate effectively at all levels, both verbally and written and both internally and externally.
22. Possess an ability to structure workload in an efficient manner
23. be able to cope working under pressure
24. Must be confident with telephone communication and possess a polite and professional telephone manner
25. Possess an excellent level of computer proficiency
26. Be able to work effectively with minimal supervision
27. Have a full driving licence
Desired Criteria:
28. Relevant service reception experience or experience of working within a franchised car/ heavy vehicle dealership would be desirable
29. Although not essential, some existing mechanical knowledge would be advantageous
Salary:
30. Salary negotiable depending on experience
