Henry Pumps is a Pump Retail Specialist based in Chesterfield and who supply nationally & also have an in house repair facility.

They are looking for an enthusiastic Apprentice Administrator to join their growing team.

Salary & Hours - Full Time. £7.55 - £10.00 PH Apprentice Minimum Wage

Full time working in the office

Mon – Thu & Fri 8.00 – 4.00.

Main duties and responsibilities

Answering incoming telephone calls as the first point of contact, ensuring all calls are handled professionally and routed promptly to the correct department or individual.

Accurately logging all inbound opportunities and sales leads into the company CRM system in a timely manner, ensuring information is complete and up to date.

Managing the company's shared email inboxes (Microsoft Outlook), monitoring incoming correspondence, and flagging or forwarding emails to the appropriate department or staff member.

Processing customer orders received via the company website or over the telephone, ensuring details are entered correctly and passed on for fulfilment.

Carrying out general office administration tasks, including creating invoices, filing, scanning, document preparation, and providing support to the sales and operations teams as required.

To achieve the following results in this position

Inbound leads and opportunities will be logged in real time into the CRM system during the phone call or immediately upon receipt, ensuring data accuracy and no loss of information.

All telephone calls will be answered promptly and professionally (within three rings where possible), with callers directed to the correct department or individual without unnecessary delay.

Company emails will be monitored throughout the working day, with all relevant correspondence flagged or forwarded to the appropriate team member within the same business day.

Customer orders will be processed accurately and without delay, ensuring invoices and supporting documentation are created correctly and passed to the relevant department for fulfilment.

You will meet these standards while working in this position

Punctuality & Attendance – Arrive on time each day, ready to begin work promptly, with consistent attendance and minimal absence.

Professional Appearance – Maintain a smart and tidy appearance in line with company standards, presenting a professional image at all times.

Attention to Detail – Complete all tasks accurately, double-checking information entered into systems (CRM, emails, invoices, orders) to avoid errors.

Positive Attitude & Teamwork – Demonstrate a proactive, can-do attitude, working cooperatively with colleagues across all departments.

Confidentiality & Professional Conduct – Handle company and customer information responsibly, maintaining confidentiality and conducting oneself in a respectful, courteous, and professional manner.

You will already have or will quickly develop the following knowledge, skills and abilities

Confident communication skills – ability to answer the telephone clearly, deal with customers politely, and communicate effectively with colleagues.

Basic IT proficiency – familiarity with Microsoft Office (Word, Excel, Outlook) and willingness to quickly learn company CRM and order processing systems.

Organisational skills – ability to prioritise tasks, manage time effectively, and keep accurate records.

Attention to accuracy – ensuring data entry, invoicing, and order processing are completed correctly, with minimal errors.

Adaptability and willingness to learn – openness to feedback, eagerness to pick up new skills, and the ability to quickly adapt to company procedures and systems.

You will need the following experience for this position

Using computers and basic software (e.g. Microsoft Office or school/college systems) to complete assignments or projects.

Communicating with others in a professional way — whether in school, college, part-time work, or volunteering.

Working to instructions and meeting deadlines, for example completing coursework, projects, or tasks set by teachers/tutors.

Being reliable and punctual — attending school, college, or other commitments on time.

Participating in group activities or teamwork, such as sports, clubs, or group projects, showing cooperation and willingness to contribute.
