Job Introduction

We are looking for a People Team Administrator and Receptionist - MAT Cover(12 months FTC) to provide accurate and timely administration to the People Team and act as first point of contact to team members and visitors to Bigham's, ensuring they are directed in a professional and engaging manner resulting in a great stakeholder experience.

Main Responsibilities

Key Accountabilities:

1. To effectively manage the day to day running of the reception and main office

2. Ensure timely reporting of daily and weekly people KPI's

3. Support the onboarding of new team members into the business

4. Prepare the data and inputs for payroll

5. Organise Bigham's café briefing, parties and team celebrations

6. Support the People Team 'love' agenda focused on maintain high engagement levels

for the business.

Key responsibilities

Reporting & People Administration

1. Providing regular reporting of daily, weekly and monthly people KPI's including daily

hours, engagement scores, turnover and attendance.

1. Becoming a 'super-user' of HRIS system supporting line managers in using the time and

attendance and reporting modules.

1. Liaising with Team Leaders to ensure people actions, such as probation reviews, return

to work meetings and progress reviews are completed and recorded on the People

System.

1. Processing new starters and any changes to hourly paid payroll including issuing of all

supporting correspondence (example: variation letters, end of probation period letters,

confirmation of resignations).

1. Play a key role in the monthly payroll processing, supporting the People Advisor to

efficiently manipulate payroll data.

6 Recording all pay queries, investigate route cause and resolve ensuring appropriate follow up action is taken.

Bigham's café briefing, parties and team celebrations

1. Organise monthly café briefings, ensuring inclusion of all key news and people celebrations, timely set up and preparation of all awards and certificates and that noticeboards are updated in an engaging and timely manner.

2. Lead the planning of the Bigham's Christmas and summer parties, ensuring the events are clearly communicated, people are engaged with them, want to attend – and have a great time

3. Coordinating and updating internal communication on noticeboards, weekly team briefings and internal screens.

General Administration

1. Answering all incoming calls, screening and transferring to relevant person or team. Plus, where appropriate taking messages and forwarding to the relevant person

2. Meeting, greeting and announcing all visitors

3. Housekeeping of reception area, office, and meeting rooms

4. Opening and distributing post

5. Franking of all outgoing mail and parcels

6. Ordering of stationery and making sure there is always enough supply

7. Arranging couriers and taxi's

8. Filing, copying, scanning and typing of documents as required

9. Diary management and scheduling of meetings

10. Updating trackers to prompt managers on completion of regular tasks

The Ideal Candidate
Experience

* Experience of working in a busy administrative role, ideally within Human Resources or a reception based role that involves customer interaction
* Experience of working in a fast-paced food manufacturing, FMCG or service organisation

Skills

* An approachable and energetic person
* Competent user of MS Office at intermediate level, experience of using MS Teams and outlook
* Confident and effective communicator with great listening skills
* Experienced administrator with demonstrable ability to manage file structure and ability to juggle priorities
* A great organiser with attention to detail
* Good telephone manner
* Supportive and able to demonstrate empathy
* Ability to communicate at all levels
