Purpose of the Role
To manage the company's vehicle fleet, ensuring all vehicles are well-maintained, roadworthy, and compliant with legal requirements. The Fleet Manager will be responsible for overseeing vehicle inspections, coordinating repairs, managing defleeting back to suppliers, and ensuring maximum fleet availability and efficiency to support business operations and customer service.
Key ResponsibilitiesFleet Operations & Maintenance
* Oversee daily fleet management, ensuring vehicles are available and reliable.
* Schedule and monitor servicing, MOTs, and statutory inspections.
* Carry out or oversee regular vehicle damage inspections.
* Arrange repairs promptly, liaising with workshops, body shops, and insurers.
* Manage breakdowns, accident damage, and warranty claims.
Defleeting & Vehicle Returns
* Coordinate the defleeting process, ensuring vehicles are prepared and presented to required standards before returning to suppliers or reselling.
* Arrange repairs and valeting before return to maximise value and avoid supplier recharge costs.
* Maintain accurate vehicle condition and return records.
Compliance & Safety
* Ensure all vehicles meet DVLA, DVSA, insurance, and Health & Safety requirements.
* Keep full, accurate, and up-to-date fleet records (service history, MOT, tax, inspection logs, accident records).
* Conduct audits to ensure compliance with company and legal standards.
Supplier & Cost Management
* Build and maintain strong relationships with repairers, suppliers, and hire partners.
* Monitor and control costs relating to repairs, maintenance, and defleet charges.
* Challenge and negotiate supplier invoices where appropriate.
Leadership & Administration
* Support drivers and operational staff on vehicle-related issues.
* Oversee vehicle allocation, ensuring availability meets operational needs.
* Produce regular reports on fleet utilisation, condition, downtime, and costs.
* Implement initiatives to reduce downtime, improve efficiency, and enhance customer experience.
Key Skills & Experience
* Experience in fleet management, transport, or vehicle hire industry.
* Strong knowledge of vehicle maintenance, repairs, and defleeting.
* Supplier and cost management experience.
* Good organisational and planning skills with strong attention to detail.
* Ability to analyse data and produce meaningful reports.
* IT literate (fleet management systems, Excel/Office).
* Strong communication and negotiation skills.
