We are seeking a Document Controller for our Warrington Office in the UK to manage and maintain our business Integrated Management System (IMS) and oversee all aspects of project documentation and control. This is a key role in ensuring our documentation is accurate, up to date, and properly distributed across internal teams and external stakeholders.
Key Accountabilities
* Maintain and manage the business IMS, including all changes, updates, and revisions.
* Oversee and manage document control for all project-related documentation.
* Assign and manage drawing numbers and systems for:
* Solar design drawings
* Electrical drawings
* Management if Incoming third-party drawings
* Ensure that all project drawings and documents are issued correctly and in a timely manner to customers for review, feedback, or approval.
* Collect, track, and distribute comments from reviewers and ensure reviews are completed and documented properly.
* Work closely with engineering, design, and project teams to improve document control systems and processes.
* Support compliance by maintaining robust and auditable documentation standards.
* To provide full administration support to the project team as well as being the main interface for the project with both external and internal contacts
* To set up, administrate and manage a thorough document and information control system for the project
* Data input and filing of incoming drawings and other design documentation and copy of distribution
* Set up and configure a document control system and sharing system, ensuring that it is tailored to suit the needs of the project
* Maintenance of accurate records of all drawings and other construction documents issued by consultants and contractors through each stage of the project
* Ensure that an effective internal review loop is maintained so that all documents are properly reviewed by the Project Team
* General administration (to a high standard), including typing, distribution, copying and filing general correspondence
* Assisting on planning applications & paperwork where required
* Ensuring outside contractors return information in time for deadlines
* Informing accounts of projects completion for invoicing
* When needed binding and collating reports for professional presentations
* Additional Duties as assigned by your manager
Qualifications:
* City & Guilds or NVQ in business administration Quality Assurance or project management
* Familiar with ISO Standards 9001,14001,45001
* 2–5 years’ experience in document control, ideally in an engineering or construction environment.
* Experience with document control systems such as SharePoint, Asite, or similar platforms.
* Experience working in an EPC Project/Engineering document control environment (required).
* Strong attention to detail and an organized approach to managing large volumes of documents.
* Familiarity with utility-scale solar projects and working with third-party designers (a strong advantage).
* Good communication skills, both written and verbal.
* Background in renewable energy or utility-scale solar is a plus.
* Familiar with industry drawing standards and revision control
