Your Role at Husqvarna UK
We are looking for a Service Coordinator to join our growing after sales and service team, reporting to the Service Centre Manager - South
Based in our Grays service centre, this is a full-time position with responsibility for the coordination and administration of all plant and machinery associated with the Husqvarna Construction service centres.
Key Responsibilities & Tasks:
1. Process job requests and work orders from customers and internal teams.
2. Schedule and coordinate service visits for field engineers or in-house technicians.
3. Maintain accurate service records, logs, and asset histories.
4. Generate and update service documentation (job sheets, inspection reports, certifications, etc.).
5. Track service jobs through to completion and ensure timely follow-up.
6. Arrange collection of customer machines for service and repair
7. Be the first point of contact for customer queries related to servicing, repairs, and job status.
8. Provide professional and timely responses to enquiries by phone and email.
9. Communicate service updates, ETAs, and job completions to customers.
10. Contact customers to book in HCS and HSC contract requirements for servicing of machines
11. Prepare job quotes and raise invoices using the company’s UpTool system.
12. Support credit control by flagging outstanding payments or service hold conditions.
13. Log parts used and liaise with procurement or stores to restock.
14. Ordering spare parts as required for internal jobs and logging delivery expectations
15. Collate service data and support in the preparation of KPIs and performance reports.
16. Feed into regional performance reviews with insights from service trends, customer issues, or engineer performance.
17. Assist the Service Centre Managers in implementing operational improvements or compliance processes.
18. Work closely with the Northern service team to ensure consistent admin support and share best practices.
19. Provide remote admin support to the Northern site when required (e.g., cover for absence, special projects).
What We’re Looking for
20. Strong organisational and time-management skills.
21. Excellent communication – able to deal confidently with customers and internal teams.
22. Proficiency with MS Office and service management software (e.g., Joblogic, BigChange, simPRO – or UpTool).
23. Ability to multitask and handle competing priorities calmly.
24. Strong attention to detail and process-driven.
25. Prior experience in a service admin or service coordinator role, ideally in engineering, construction, or equipment servicing.
26. Understanding of health & safety and compliance documentation (advantageous).
27. Experience working in a regional or multi-site reporting structure.
