We are a small but growing consultancy specialising in asset management and maintenance. Our work combines technical expertise with practical delivery, supporting clients across the UK. As we expand, we are looking for an Executive Assistant who can provide high-quality support to the leadership team while ensuring smooth day-to-day office operations.
The role
This is a varied and hands-on role, suited to someone who enjoys working in a fast-paced, entrepreneurial environment. You will act as Executive Assistant to the Managing Director, while also taking responsibility for office management, financial administration, and wider team support. The role combines organisational, administrative, and coordination responsibilities, and is key to keeping the business running efficiently.
The role could be full time (8am-4pm) or part time (e.g. 9am-3pm around school hours/caring requirements), with flexibility for the right individual.
Key responsibilities
Executive support
* Provide proactive diary management, scheduling, and meeting coordination for the Managing Director.
* Prepare documents, presentations, and reports as required.
* Assist with correspondence, emails, and communication on behalf of leadership.
Office support
* Oversee day-to-day office administration, systems, and supplies.
* Manage relationships with suppliers and service providers.
* Ensure smooth running of IT, facilities, and office processes.
Finance and administration
* Support invoicing, expenses, and purchase order processing.
* Maintain accurate records for accounts and liaise with external accountants.
* Assist with monitoring budgets and financial tracking.
Team support
* Coordinate internal meetings, events, and training sessions.
* Provide general administrative support to consultants working on client projects.
Skills and experience
* Previous experience as an Executive Assistant, Office Support, or in a similar administrative/operations role.
* Strong organisational and multitasking skills with high attention to detail.
* Confident using Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint).
* Good numeracy and financial administration experience.
* Professional, proactive, and adaptable, with the ability to work independently.
* Excellent written and verbal communication skills.
