About the Role
Hoveton and Wroxham Medical Centre is seeking a bright and motivated dispensary business manager to join our busy practice. The role involves active participation as part of the multidisciplinary team. It is offered on a part-time basis for 15-18 hours per week, working Tuesday, Wednesday, and Thursday.
The main responsibilities include:
* Negotiating sales terms with pharmaceutical companies or their representatives, in collaboration with the dispensary lead.
* Maintaining a database of dispensary discounts with wholesalers and organizing information for evaluating new deals.
* Tracking dispensary income and expenditure, monitoring manufacturing schemes, discounts, and rebates.
* Raising concerns about negative trends with the Practice Manager and GP Prescribing Partner.
* Consulting with clinical teams on formulary drug options.
* Communicating financial opportunities and threats to the Practice Manager, particularly during the monthly Dispensary Management Meeting.
* Managing NHS Prescription Service submissions.
* Developing financial predictions and analyzing variances in spend and income.
* Reviewing drug freight costs and advising dispensary staff accordingly.
* Ensuring correct recording of Personally Administered items for VAT purposes.
* Scheduling meetings with wholesaler representatives.
* Coordinating monthly clinical prescribing meetings, setting agendas, and circulating minutes.
* Managing dispensary management meetings, including agenda setting, minutes, and actions.
* Overseeing DSQS in collaboration with the dispensary lead.
* Attending clinical prescribing and dispensary management meetings and relaying information to the dispensary lead.
* Ensuring MHRA alerts are addressed and acknowledged.
* Working with the compliance manager to keep SOPs and policies up to date and acknowledged.
* Communicating prescription price changes to the team and the public.
* Identifying and addressing gaps in cashing up procedures.
* Working with the dispensary lead on efficiency improvements.
* Checking invoices against statements.
* Processing PA items claims as needed.
* Aiming for zero stock waste in collaboration with the dispensary team.
* Educating the public on appropriate drug ordering to prevent overordering.
* Managing rebate claims from Tillotts and Oxypro.
* Processing invoices for payment in consultation with management.

Skills and experience required:
* GCSE (or equivalent) English and Maths at grade C or above.
* At least two years of management experience.
* Previous dispensary/pharmacy experience is desirable.
* Financial management experience.
* Self-motivated with a solution-focused approach.
* Ability to adapt to change and work in a dynamic environment.
* Excellent organizational, management, planning, IT, and communication skills.
* Ability to implement and manage change effectively.
* Strong clinical and medication knowledge.
* Commitment to ongoing learning and career development.
* Confidence to work independently and as part of a busy multidisciplinary team.
About Us
We are a reputable, semi-rural dispensing, research, and GP training practice in north Norfolk, near Norwich, with approximately 10,000 patients. We are part of the NN4 Primary Care Network, collaborating with five local practices.
