Job Description:

The role of Print Administrator ensures colleague and client requirements are met in a professional, timely and consistent manner. Taking ownership of day-to-day print administration, you will manage administrative print requirements, from initial enquiry through to delivery, liaising with suppliers and colleagues throughout. The role will involve sourcing and negotiating with suppliers, ensuring paperwork for all jobs is accurate and up to date in a timely manner.

Main Duties and Responsibilities

* Provide a proactive service to colleagues and clients, liaising with suppliers to ensure quote, job and invoice specifications are correct
* Working closely with colleagues to discuss project requirements, advise appropriate products and services, obtain costings, prepare quotes and place jobs with the most appropriate supplier or in house team
* Input enquiries accurately into the company MIS system (Shuttleworth) and convert to purchase orders and delivery notes for suppliers, ensuring job specification is accurate before commitment
* Log all stages of jobs on relevant Work in Progress (WIP) list and keep accurate and up to date records
* Review cost base for each job to identify potential cost reductions
* Assist colleagues in the development of existing and new client accounts in a proactive manner, adding value where possible
* Identify, appraise and investigate opportunities during liaisons with suppliers and existing clients, keeping your line manager informed
* Undertake other designated projects and appropriate duties as identified by your line manager
* Be willing to undertake any relevant training/qualifications that will assist you in the implementation of your duties

Person Specification

* Team-focused, personable, organised and diligent
* Out-of-the-box thinker, always looking for new ways to improve and add value
* Excellent communicator, both written and verbal

Qualifications

* Good standard of education to include GCSE Maths and English at grade C or above (or equivalent)
* Relevant training/qualifications in administration and client support – desired

Experience In

* 2+ years' experience in the printing and/or print management industry
* Microsoft Office package (including Word, Excel and Outlook)
* Direct client support
* Maintaining reporting systems
* Working with designers and the creative process – desired

Skills In

* Strong attention to detail with the ability to manage several jobs at any one time
* Planning within tight timescales with commercial awareness
* Communication to a high standard, both verbal and written
* Dealing professionally and confidently with people at all levels, both internally and externally to the organisation

Motivation

* Self-motivated and able to work on own initiative or as part of a team
* Takes encouragement from successful outcomes

Attitude and Temperament

* Ability to demonstrate a professional, diplomatic and tactful approach when dealing with colleagues, clients and suppliers
* Very conscientious with the ability to produce accurate and high-quality work often under pressure and to tight and changing deadlines
* Ability to maintain strict confidentiality at all times

Job Type: Full-time

Pay: £24,000.00-£28,000.00 per year
