About the role

Location: Nairn Academy (Fully On‑Site)

Contract Type: 10‑Month Fixed Term Contract

We are looking for a proactive and highly organised Project Administrator to join our UKCS Scotland team, working full‑time onsite at our Nairn Academy project. In this role, you will provide specialist and general administrative support to ensure efficient day‑to‑day operations across the project team.

Reporting to the Administration Manager, and working closely with the Project Lead and wider site team, you will play a key part in supporting project delivery, maintaining excellent information flow, and enabling the team to perform at its best.

What you'll be doing

As a Project Administrator, your responsibilities will include:

* Delivering a full range of administrative duties to support the project team efficiently.
* Providing general administrative support such as meeting minutes, typing, photocopying, scanning, and handling correspondence.
* Screening incoming calls, mail, and emails on behalf of the team, ensuring queries are managed promptly and professionally.
* Creating and maintaining spreadsheets, documents, and presentations using MS Office.
* Supporting monthly reporting processes, including PRM and contractor reports.
* Assisting with M‑Site requirements.
* Uploading documents to BIM and SharePoint to maintain accurate project records.
* Managing multiple diaries, planning schedules, and optimising the team's working time.
* Organising and attending meetings/conferences, including arranging facilities and taking minutes.
* Managing meeting room and hot‑desk bookings.
* Completing confidential project work as required.
* Maintaining accurate and secure electronic and paper‑based filing systems, including archiving.
* Upholding confidentiality in all aspects of project and business information.
* Demonstrating and promoting Balfour Beatty Values, Zero Harm, and supporting UKCS sustainability activities.

We're seeking someone who brings strong organisational skills, initiative, and a positive, team‑focused approach. The ideal candidate will have:

* Previous secretarial and/or administrative experience.
* Excellent organisational ability and confidence working independently.
* Strong communication skills and the ability to build effective relationships across all levels.
* The ability to work under pressure and meet tight deadlines.
* A strong customer‑focused mindset.
* Fast and accurate typing skills.
* Strong IT capability, with proficiency in Microsoft Office (Excel, Word, PowerPoint) and SharePoint.
