About You

As a Assistant Administrative Officer, you will bring to the role and work with high levels of accuracy for tasks such as checking documents, recording numerical and alphabetical information. You will work unsupervised, use your initiative to adhere to time scales and deadlines and manage your own workload. You will be able to collate data and use it to produce reports. You may work flexibly and move within service areas, working at different locations depending on service demand. Knowledge of contract procedure rules, payroll processing, recruitment and selection, and children’s safeguarding is desirable.


About The Role

We are looking to recruit an enthusiastic, flexible and motivated person to join the Council’s Highways Technical Administrative Support team. This role provides administrative support to Highways maintenance, technical officers and operatives. The successful candidate must be able to input data from different sources into highways computerised systems and use Microsoft Word, Excel and Outlook. Customer service is a key requirement, providing the first line of contact for service users by answering general queries over the phone regarding highway maintenance works.


Responsibilities

* Assist with day-to-day tasks and operational variation orders.
* Support DLO operatives’ queries (pay, holidays, overtime).
* Consult with Councillors and ward members regarding potholes, winter gritting queries, and reports in the LCC portal or Contact Centre.
* Consult with external suppliers to deal with correspondence and invoices.
* Consult with external teams on ongoing works.
* Process accident claims and ensure accurate details and locations are logged for inspectors.
* Processing payroll.
* Invoice processing.
* Day-to-day administration duties supporting the Highways operatives.


Qualifications

* GCSE or equivalent in Maths and English.
* Essential: demonstrate the following criteria for the role in context of duties and responsibilities.


Essential requirements

* Confident user of IT applications including Microsoft Word and Excel.
* Ability to communicate effectively with people at all levels.
* Ability to organise and prioritise workloads.


Knowledge and Experience

* Flexible approach to workload duties.
* Positive commitment to customer care.
* Knowledge of processing payroll.
* Flexible approach to working in a multi-disciplinary team.
