Job Summary:
It is the responsibility of each receptionist to assist in the smooth running of the Practice in general, and the reception area in particular, and to project a positive and friendly image to our patients and other professionals who may contact us either inperson or via the telephone.
To facilitate patients accessing the clinical care provided by the practice.
To support the GPs and Nurses in providing that care.
To act as first point of contact for anyone accessing the practice.
Main duties of the job
KEYRESPONSIBILITIES:
To ensure that all visitors andtelephone callers to the practice are greeted professionally.
To ensure all telephone callsare managed appropriately.
To manage the flow of patientsarriving at the reception desk, for appointments, prescriptions or queries.
To ensure the clinical staffsreceive medical records as requested.
To ensure that repeatprescriptions are generated accurately and efficiently, within the 48 hoursspecified by the practice.

Job responsibilities
KEY TASKS:
Receptionduties :
Greeting and booking in orpatients for surgeries and clinics.
Dealing with patient enquiriesefficiently and courteously.
The receiving and recording oftelephone messages taking appropriate action
Making appointments on EMIS, byprocessing appointment requests for today, future appointments from patients inperson and on the telephone.
Restoring the telephone servicein the morning and checking for any messages.
Dealing with all telephonequeries/requests from patients, and acting as liaison with the Doctors/Nursesas necessary. Pulling and filing medical records as necessary.
Processing repeat prescriptionsand filing for collection within 48 hours.
Taking home visit requests
Advising patients of relevantcharges for private services
Receiving specimens frompatients ensuring all their details have been recorded whilst following Health& Safety policy.
Administrationduties:
To have a thorough knowledge ofall practice policies and procedures
To work in accordance withwritten protocols
Provide administrative supportfor clinical staff.
Filing patient records andcorrespondence when necessary.
Opening and distribution orpractice post.
Registering new patientsfollowing the Registration Protocol.
Scanning of documents onto themedical system. All scanning should be cleared daily.
To send letters to patients asnecessary.
Photocopying of notes and otherinformation (in reception this includes: ensuring enough forms are printed orphotocopied: consent forms, CITA, appointment card, change of details etc.).
Changing details on EMIS Change of address, telephone numbers etc.
OtherInformation :
Cover for other Reception teammembers may be required for sickness and annual leave.
To carry out any other dutiesagreed between employee and the practice to ensure the smooth running of thepractice.

They may also have access to information relatingto the practice as a business organisation. All such information from anysource is to be regarded as strictly confidential

Health &Safety:
The post-holderwill assist in promoting and maintaining their own and others health,
safety andsecurity as defined in the practice Health & Safety Policy, the Staff
Handbook andthe Practice Infection Control Policy, this will include:
Using personal security systemswith the workplace according to practice guidelines
Identifying the risks involvedin work activities and undertaking such activities in a way that manages thoserisks.
Making effective use oftraining to update knowledge and skills
Keeping own work areas andgeneral/patient areas free from hazards.
