Job Overview
An exciting opportunity has arisen for a Band 3 Support Secretary to work within the Musculoskeletal Secretariat at The Princess Royal Hospital/Royal Shrewsbury Hospital. The post is a 12‑month fixed term and is cross‑site, but the location is flexible.
The successful applicant will provide support to the MSK Supervisor and the secretarial team. Duties include typing clinical notes, ward rounds, theatre notes, e‑referrals, scanning documentation onto the portal, validation and dealing with patients and doctors as necessary. You will produce accurate work under pressure and must be proficient in Microsoft Office applications, SEMA, SEW, CRIS, Clinical Portal, ERS. A working knowledge of data protection, excellent organisational and communication skills, flexibility, good time management and the ability to work as part of a team are essential. Experience of working in a healthcare setting would be desirable.
Main Duties of the Job
* Provide an efficient and comprehensive secretarial support service for the supervisor, prioritising work to ensure deadlines are met.
* Ensure effective communication with associated departments.
* Assist in the organisation of the Clinical Team’s workload.
* Conduct electronic and manual searches for notes.
* Use Microsoft Office to produce clinical correspondence with audio transcription.
* Communicate with general practitioners and other health professionals, drafting clinical letters, notes and discharge summaries.
* Respond to telephone calls from anxious and distressed patients, taking messages and resolving problems when possible, in a professional and competent manner.
* Arrange and service meetings as required.
* Deal with all queries from colleagues and external organisations quickly and effectively, producing file notes if necessary.
* Maintain smooth running of the office/team, assessing priorities and initiating preparatory action.
* Open and manage incoming correspondence appropriately.
* Photocopy, perform general office duties and use the PAS (Patient Administration System) when necessary.
* Maintain comprehensive office systems ensuring prompt access to information.
* Keep up to date with technological developments and develop appropriate skills in word processing, spreadsheets, databases, electronic mail, presentations, etc.
Qualifications
• Ability to produce high‑quality work and remain a strong completer‑finisher. • Excellent organisational, communication and time‑management skills. • Flexibility to work across sites. • Proficiency with Microsoft Office and NHS clinical portals. • Knowledge of data protection principles. • Experience in a healthcare setting (desirable).
