Overview

Rhizocore Technologies is an applied mycology startup that works with fungi to increase forest growth rates, enhance carbon sequestration in forests, and remediate polluted freshwater ecosystems. Rhizocore is building the world's largest live fungal strain library, focusing on the use of locally sourced fungi to address environmental issues such as tree mortality and the remediation of freshwater pollutants. We are focused on maximising our impact on increasing biodiversity and carbon sequestration by harnessing the diversity of the fungal kingdom.


We have recently closed a seed funding round and are moving quickly to scale our business internationally and maximise our impact on the biodiversity and climate crises. Our new Office Manager will enhance our operational and administrative functions across all areas, supporting and enabling Rhizocore to grow and achieve its goals.


Job specification

We are seeking a highly organised, proactive, and adaptable Office Manager to ensure the smooth day-to-day running of our operations. This role is central to supporting the efficiency, well-being, and productivity of the entire team. The Office Manager will oversee administrative functions, ensure compliance, coordinate office logistics, support HR and finance processes, and serve as the primary point of contact for staff, partners, and visitors.


The Office Manager will work closely with our COO to professionalise our operational processes across the entire business, speeding up workflows, streamlining administration and heading off problems before they arise. They will own the company calendar, ensuring we hit key dates both internally and externally, guarding our cultural touchpoints and be empowered to hold management to account. This is a key role to enable our growth while retaining our soul.


The Office Manager will be incredibly collaborative, excited to work across all aspects of the business to make things work better for everyone. Your strengths will lie in being a ‘finisher’, ensuring tasks are not missed and jobs get done. You will be responsible for critical compliance areas, including GDPR and Health and Safety. Key Responsibilities:

● Administration & Operations

* Manage daily office operations, supplies, equipment, and vendor relationships.
* Maintain company records, filing systems, and documentation, acting as the key organiser of our company data.
* Coordinate schedules, meetings, and travel arrangements as needed, owning the company calendar.

● HR & People Support

* Support onboarding of new hires, including IT setup and induction.
* Maintain HR records, ensure our policies are up to date and assist with staff wellbeing initiatives o Serve as a primary point of contact for employee queries and office-related matters.
* Aid managers with hiring processes.

● Operational Processes & Compliance

* Assist with the setup, compliance and improvement of internal operations across the business, constantly and proactively looking to make things easier, faster and smoother.
* Look for ways to automate routine administration wherever possible.
* Ensure compliance with health, safety, workplace and GDPR regulations.

● Culture & Events

* Organise company events, workshops, and team-building activities.
* Help foster a positive and inclusive workplace culture aligned with our core values.
* Manage visitor reception, company contact points and represent Rhizocore professionally.


Remuneration:

Hours of work:Full-time

Contract type: Permanent

Salary: £30k-£40k depending on experience

Location: Roslin, Scotland.

Reports to (position): COO



Office Manager – Requirements

Cultural and personality fit is crucial for this role, and we will be looking for someone who will thrive within the company, the job and its demands. Demonstrating similar work and your approach (in any context) is key, and we will consider both existing experience, transferable skills and ability to grow within the role. Qualifications and Experience

* Experience in an office management, administration, or operations role.
* Excellent organisational and multitasking skills with strong attention to detail.
* Strong communication and interpersonal skills.
* Proficiency and confidence with office software and cloud solutions, such as Google Workspace, HR tools etc.
* Ability to work independently, anticipate needs, and problem-solve proactively.
* Experience in a start-up, tech, or science-based environment is a plus.
