We have a great opportunity to work within our higher education client based in Uxbridge.
Role: Executive Assistant (Temporary)
Duration: ASAP until the end of January 2026
Pay: 18.57
Location: Uxbridge
Hours / Days: Monday to Friday, 9am to 5pm. The first 2-3 weeks are 100% campus-based, then hybrid (3 days in the office, 2 days remote).
Job Specification:
* Provide executive administrative support, acting as the principal point of contact for the Executive Dean(s) and managing communication with internal and external contacts.
* Manage diaries proactively and sensitively, coordinate meetings with stakeholders, and ensure availability of the Dean(s).
* Assist with college meetings and committees, including agenda and minute preparation, managing SharePoint sites, and distributing papers in advance.
* Coordinate travel arrangements and prepare itineraries for the Dean(s).
* Draft correspondence, collate data, prepare presentations, and proofread documents.
* Research information to support the Dean(s), manage delegated projects, and ensure timely completion.
* Handle HR and finance tasks, including data entry and liaising with central departments, utilizing systems like CHIME, SharePoint, and E-recruiter.
* Support high-profile college events such as away days, VIP visits, and graduations.
* Use CHIME to process purchase orders and invoices.
Communication:
* Act as a key communication link between the Dean(s), senior staff, and external contacts.
* Coordinate cover arrangements with other PAs to ensure continuous support and excellent customer service.
* Support the Vice Chancellors Office and provide ad hoc duties as needed.
Qualifications and Experience:
* University undergraduate degree or demonstrable transferable skills (analytical, interpersonal, problem-solving, self-management).
* Relevant experience providing high-level EA support, including diary management, handling sensitive information, servicing meetings, and working within higher education or similar complex organizations.
