The Project Coordinator (PC) leads the main administrative tasks under the Delivery Operations scope, meaning "from the handover from Sales to Delivery until the handover to our Customers and Service". The PC is the main support for the Project Manager and Construction Manager, including customer communication when required. PC reports to the Delivery Operations Manager and cannot be combined with a Sales Administrator role.
Core responsibilities:
The PC proactively leads and supports the main administrative tasks within project execution, serving as the primary support to the Project Manager and Construction Manager. This includes managing project documentation, dynamic cost planning, updating good receipt records, invoice processing, and supporting project closing activities.
The PC reports to the Delivery Operations Manager, coordinating, evaluating, and developing a team to ensure timely access to necessary materials and inputs, maintaining consistency in task execution.
* Supports the Project Manager and Construction Manager in monitoring actual versus planned costs, reporting deviations, and ensuring proper booking of costs. Prepares revenue and cost plans, and overall financial forecasts to facilitate review.
* Updates the project forecast monthly, ensuring adherence to guidelines regarding change approvals.
* Verifies invoicing and collection statuses against billing plans, reporting deviations and supporting issue resolution.
* Participates in Project Reviews post-booking, ensuring correctness of cost planning for accurate POC revenue recognition from installation start.
* Post pre-closing review, ensures correct system status for sales recognition and plans remaining costs, including late costs.
* Administers change orders.
* Prepares purchase requests with complete information, monitors purchase order creation, and checks invoices lacking purchase orders or goods receipt.
* Assists in customer correspondence, securing approvals and signatures, preparing documentation for stakeholders, especially in potential claims.
* Ensures labor is accurately planned before installation, including subcontracting requests and scheduling of installation hours by KONE fitters and testers.
* Supports Construction Manager with document management of fitters and subcontractors, coordinating with the Installation Resource Manager.
Skills & experiences:
* Experience in administrative tasks.
* Understanding of contract terms, financials, and relevant regulations.
* Effective presentation of business information and teamwork with managers, customers, and contractors.
* Proficiency in report writing and professional correspondence.
* Problem-solving skills with practical variables.
* Cost management experience is advantageous.
* Knowledge of Customer Experience KONE programs and Project Management Framework.
* Proficiency in Microsoft Office and SAP systems.
