Cumberland Lodge, the educational charity and residential conference centre, is a unique 17th century venue with 60 bedrooms in the heart of Windsor Great Park, Berkshire. Our charitable work is supported by income from hiring out our stunning facilities for residential and non-residential conferences, meetings, training courses, and special events.
The receptionist role supports the Front of House team to ensure that guests of the Lodge enjoy a trouble-free stay, and that individuals and groups achieve their own objectives while they are in residence.
Person Specification Requirements
* Relevant experience in a receptionist/PA role preferably in a hospitality/events sector and a clear understanding of customer service principles.
* Able to communicate effectively with all levels of staff internally and externally
* Strong administrative, organisational skills and time management skills
* Ability to problem solve in difficult customer-facing situations and under time pressure
* Ability to remain calm and courteous at all times.
* Experience of data entry and use of database/event management systems.
* Strong numeracy skills
* Accurate with close attention to detail
* Personable and confident
* Motivated self-starter with initiative
* Willing to train in First Aid
The successful candidate must have access to a vehicle, as Cumberland Lodge is located remotely in Windsor Great Park without easy access by public transport.
Working Pattern: Every other weekend
Shifts: Saturdays 8am to 4pm and Sundays 8am to 4pm with an occasional need to cover weekend annual leave
Annual Leave: 33 days including statutory UK Bank Holidays – pro rata for part-time employees. The Charity is closed during August and over the Christmas period which will be deducted from the leave allocation.
Pension: Standard Life contributory pension (currently 10% contributions to support 5% personal contributions, with the option to increase personal contributions over and above 5%)

Reporting to: Meeting and Events Manager
Main Duties
* Providing a 'front desk' service to guests and visitors, including answering the telephone and dealing with enquiries. Processing, issuing and retrieving electronic access cards. The front desk service include booking taxis, photocopying, taking and relaying messages.
* Providing a front desk service to guests and visitors, including answering the telephone and dealing with enquiries. Keeping the reception and Tapestry Hall areas tidy. To respond to all guest queries.
* Processing, issuing and retrieving electronic access cards.
* Assisting with merchandise sales.
* Acting as shift lead in the event of an emergency; for example for fire panel control and leading guest and staff evacuation if necessary.
* Act as First Aid shift lead
* Being aware of and participating in health and safety, fire safety, security procedures and reporting any faults in the Lodge. In case of emergencies ensuring the safety of guests and colleagues (including staff training days)
* Attend staff development days (usually twice a year)
* Acting upon and defusing guest complaints and reporting these to the appropriate senior manager.
* Taking care of lost property and ensuring that items are returned to their owners wherever possible
* Alerting staff of any VIPs coming to the Lodge.
* Handling cash and other payments carefully and accounting properly for all transactions.
* Passing on any enquiries to the Meeting & Events Manager.
* In common with all Lodge staff, working flexibly and carrying out such other duties as may be reasonably required to facilitate the smooth running of the business.
