We are seeking a detail-oriented and organized Materials Assistant to support our daily operations. The main objectives of the Materials Assistant will be the handling of materials, receipt, despatch, and general stores functions. Duties will also include Inspection and testing of specified materials.
This role involves a mix of administrative duties and coordination of shipping activities to ensure efficient order processing
and delivery. The ideal candidate will possess strong multitasking skills, excellent communication abilities, and a proactive
attitude to handle dynamic responsibilities effectively. The Materials Assistant will report to the Operations Director and
will assist with admin duties in the operations function including supporting the Project Co-ordinator, Materials Co-Ordinator and documentation.
ESSENTIAL TASKS & DUTIES:
* Unpacking, checking and processing of goods received (mostly high-value electronic and precision components), marking and repacking the materials for storage, transferring the materials to the stores and entry of the receipt into the company ERP system.
* Performing general inspection of all received materials against the purchase specification and supplier documentation and processing of non-conforming material.
* Performing specific inspection and testing of critical materials and recording results into the company ERP
* Withdrawal of components from the stores into kits of parts for production, recording of traceable component data, and entry into ERP system.
* Packing and despatch of spares orders, arranging shipment/freight, producing shipping documents and sales
* Packing of completed analysers and accessories and marking of packing
* Loading and unloading of material receipts and despatches using the fork-lift
* Performing regular cycle-counting of stocked materials and recording results into the company ERP
* Control and replenishment of consumable items in conjunction with the production
* Control of periodic calibration of test equipment by external
* Organisation and housekeeping of the stores and general factory areas in accordance with company policies and
* General administrative duties including data entry into the company ERP system and use of Microsoft Office.
* Any other duties as assigned by the management
Administrative Duties:
* Manage office supplies, filing systems, and correspondence.
* Maintain accurate records, databases, and documentation.
* Assist with preparing reports, presentations, and correspondence.
* Provide administrative support to various departments as needed.
* Compiling documents for customer orders
Shipping Coordination:
* Assist in coordinating the preparation and shipment of orders to customers.
* Liaise with suppliers, couriers, and freight forwarders to ensure timely deliveries.
* Track shipments and provide updates to customers and internal teams.
* Prepare shipping documentation such as packing lists, invoices, and bills of lading.
* Assist in monitoring and manage inventory levels to avoid stock shortages or overstocking.
REQUIRED SKILLS
* Computer Skills: To perform this job successfully, an individual must possess demonstrated advanced skills in MS Word, Adobe and PowerPoint. General proficiency in Windows and Excel also required.
* Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.
