Executive Assistant, Amazon Payments Japan

Amazon Payments Japan operates as a comprehensive payments organization that manages both Amazon's internal payment methods and external payment solutions through Amazon Pay. The team oversees various payment products including Amazon's co-branded credit cards, installment payment options, and integrations with popular e-wallets such as PayPay, while also managing Amazon Pay, which enables customers to use their Amazon accounts to pay on third-party merchant websites and apps. Operating within one of the world's most sophisticated payment markets, the team serves millions of Japanese customers and merchants, handling both consumer and merchant-facing payment solutions. The organization has demonstrated consistent growth in recent years, combining deep local market expertise with Amazon's global payment capabilities to deliver innovative payment solutions tailored to Japanese consumers and businesses.

Key job responsibilities
We are seeking an experienced Executive Assistant to support the Director of Amazon Payments Japan, who leads a dynamic organization and manages multiple engineering teams located around the world. This role requires exceptional organizational and communication skills to coordinate across multiple time zones, particularly with key stakeholders in Luxembourg, Seattle, and various divisions within Amazon Japan. The Executive Assistant will manage complex calendaring, coordinate international meetings, arrange business travel, and handle confidential communications while supporting strategic initiatives across the payments organization. Critical responsibilities include preparing documentation for leadership meetings, managing operational rhythms, coordinating team events, and serving as a key point of contact for both internal and external stakeholders. The ideal candidate will demonstrate strong project management capabilities, cultural awareness for working with global teams, and the ability to anticipate and proactively address the Director's needs while helping to drive organizational efficiency and effectiveness.

* Complex calendar management across multiple global time zones, including prioritization and strategic scheduling of meetings
* Coordinate and prepare materials for leadership meetings, business reviews, and team communications
* Manage comprehensive travel arrangements, including international business trips, visas, accommodations, and detailed itineraries
* Act as the primary point of contact for internal and external stakeholders, managing communication flow to and from the Director
* Organize and maintain confidential documents, presentations, and correspondence
* Drive operational rhythms, including team meetings, quarterly business reviews, and annual planning sessions
* Coordinate team events, offsites, and recognition programs for a large organization
* Track and follow up on key action items and decisions from leadership meetings
* Prepare expense reports and manage administrative budgets
* Support strategic initiatives by gathering data and coordinating cross-functional projects
* Manage document translations between Japanese and English when needed
* Ensure smooth communication flow between the Director and teams in Bangalore, Luxembourg, and Seattle
* Assist in coordinating hiring activities and onboarding processes for the organization
* Maintain and update team organizational charts and contact lists


BASIC QUALIFICATIONS

- Bachelor's degree or equivalent practical experience
- 5+ years of executive assistant experience, including experience supporting senior leadership
- Native-level Japanese language proficiency and business-level English proficiency (reading, writing, speaking)
- Demonstrated experience managing complex calendars across multiple time zones
- Proven track record of coordinating international business travel and creating detailed itineraries
- Experience preparing and managing business documentation, presentations, and confidential materials
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Powerpoint)
- Experience managing budgets and processing expense reports
- Strong organizational skills with attention to detail and ability to manage multiple priorities
- Track record of working effectively in a fast-paced, global environment
- Experience coordinating large-scale meetings and events
- Demonstrated ability to handle confidential information with discretion
- Experience working with cross-cultural, geographically dispersed teams


PREFERRED QUALIFICATIONS

- 7+ years of executive assistant experience specifically supporting C-level or senior executives in global organizations
- Previous experience in the technology, financial services, or payments industry
- Experience supporting leaders managing organizations of 100+ people
- TOEIC score of 900+ language certification or equivalent strong business English ability
- Prior experience working with teams in India, Europe, or other global regions
- Experience with project management tools (Microsoft Project, Trello, etc.) and collaboration platforms (Slack, Teams)
- Experience with change management and organizational development initiatives
- Demonstrated experience in process improvement and automation
- Background in event planning or conference management at scale
- Experience with vendor management and contract administration
