Location: Office-based (Princes Risborough)
Hours: Full-time, 40 hours per week (9:00am – 5:00pm, Monday–Friday)
About the Role
As a Service Administrator, you will be the central communications hub for our daily operations.
You will provide critical administrative support to management, field engineers and customers, ensuring the day-to-day service and installation cycles run smoothly and efficiently.
This is a key operational role within a growing group of specialist mechanical businesses.
Key Responsibilities
Operational Support
* Undertake daily administrative tasks to support office, service and installation teams
Helpdesk Management
* Act as the first point of contact for customers
* Provide professional support via phone, email and web enquiries
Workflow & Scheduling
* Organise site visits and coordinate engineer schedules
* Support the implementation of new accounts and service contracts
Documentation & Compliance
* Support invoicing, contract filing and extra works quotations
* Log completed works on the BESCA portal
* Maintain accurate records and documentation
Logistics & Fleet
* Sign in materials and manage deliveries
* Check engineer timesheets and expenses for payroll processing
What You Need to Succeed
Technical Skills
* Proficiency in Microsoft Office (Word & Excel)
* Experience using helpdesk or call management systems
Communication
* Excellent written and verbal communication skills
* Professional and customer-focused approach
Initiative
* Ability to work independently and use your own initiative
* Confidence to identify and upscale issues to management
Pressure Management
* Positive attitude in a fast-paced environment
* Strong attention to detail and ability to maintain accuracy under pressure
