Job objectives and responsibilities

As Corporate Receptionist/Guest Services, you will be the first point of contact for clients, visitors, and employees, contributing to a positive and professional impression of the company.
Main Duties
* Reception Desk Management: greet visitors, answer and direct calls, maintain a clean and organized reception area, provide site safety briefings, assist with client events, complete online Fire Warden Training and support building evacuations, manage weekly stock of stationary, train new team members, keep health and safety posters and folders up to date, report faults or safety concerns, and collaborate with reception, WPM, Security, FM, and administrative staff.
* Security Awareness: monitor and control access, verify visitor credentials, issue badges, and report suspicious activity.
* Customer Service Excellence: provide personalised assistance, offer information about the company and facilities, and resolve inquiries with professionalism.
* Administrative Support: sort mail, manage couriers, book meeting rooms, respond to the Reception Inbox, manage daily parcel deliveries, and maintain visitor figures, internal audits, staff passes, and filing systems. Support other departments as needed.
* Uniform Standards: adhere to uniform guidelines and maintain a neat appearance reflecting the company image.
* Guest Service - Coordinator duties: conduct Fire Alarm testing (where applicable), perform kitchen checks, maintain meeting room stock and cleanliness, ensure meeting rooms are ready for next bookings, check printers and supplies, conduct weekly fire extinguisher and First Aid box checks, perform floor walks and report maintenance or cleaning issues, manage stationary stock and confidential bins, and conduct building inductions for new staff.
Policies, training and health and safety
* Company Policy & Training: read and sign the site SOP & Uniform standard, follow Absence Management processes, complete mandatory training.
* Health and Safety Responsibilities: follow group and company policies, report deficiencies, use equipment and PPE properly, report issues or training needs to line manager or via incident reporting.
Person Specification
* Experience: 2 years' customer service experience in reception, switchboard, or room booking environments; qualified first aider or willing to undertake a course. Training will be provided if not already qualified.
* Skills and Knowledge: strong communication (written and verbal), proficiency with MS Outlook, Word, Excel, PowerPoint; ability to interact confidently with all levels; excellent organizational and multitasking abilities; ability to stay composed in fast-paced situations.
* Education or Certification: 2 years reception/administration experience is beneficial but not required; A Level or equivalent.
