Salary: £13,638.30 plus company benefits
Location: Nottingham, NG1 6HH
Contract: 6 month fixed term contract, Part Time
Shifts: 20 hours per week, working Monday to Wednesday as follows:
Monday and Tuesday working rotating shifts of 08:00 till 16:30 and 09:00 till 17:30 with 1 hour unpaid lunch break
Wednesday working 08:00 till 13:30 with 30 minutes unpaid lunch break

Purpose of role
This Facilities Associate position is responsible for handling all day-to-day facilities issues including direct liaison with clients, vendors, security and building management as well as maintaining the overall integrity and operational functionality of the office, including aesthetics.
Key responsibilities
1. Perform regular inspections of the client space (doors, furniture and fixtures) and escalate to relevant vendors for resolution
2. Respond to employee facility related requests – temperature, parking, etc.
3. Coordinate with Building Management on any issues relating to janitorial services, security, parking, etc.
4. Support emergency evacuation plans/fire drills
5. Interact with vendors for vending machines, coffee service, Life Safety Equipment, day porter, and other facility related services
6. Obtain working knowledge on thermostats, HVAC controls, Fire Controls, Security alarm system
7. Coordinate minor moves
8. Coordinate furniture orders/minor furniture changes
9. Manage building access/badges and internal keys
10. Coordinate onboarding and offboarding of client staff
11. Assist Account Manager/Facilities Manager with overall maintenance of offices and ad hoc/special administrative projects in support of client initiatives
12. Work with manager to update Site Procedures Manual
13. Set tone for the environment by maintaining a positive personality, sense of urgency, independent thinking, self starting and high-spirited “can-do” disposition.
Personal attributes
14. Minimum of 1 year of work experience in the area field of facilities, property management or building operations
15. Strong written and verbal skills
16. Proven customer service skillset
17. Experience with Microsoft Office (Word, PowerPoint and Excel), including Outlook email and calendar
18. Experience in navigating a high-profile, high-paced environment
19. Ability to problem solve, rationalize and mitigate/manage obstacles presented
20. Self starter, task-oriented leader
21. Ability to work overtime as needed
22. Ability to handle sensitive and/or confidential information
23. Proven ability to multi-task, meet deadlines and complete projects in a timely manner
24. Demonstrate initiative and proactive thinking
25. Ability to work well with others in a team atmosphere
26. Maintain a professional appearance and high level customer service mindset at all times
27. Ability to commit and adhere to all client values, principles and procedures
