Job Title: Personal Assistant to Chief Talent, Development & People analytics Officer & Team

ROLE PURPOSE
We're hiring a highly skilled, proactive Executive Assistant to serve as a trusted right hand to the Chief Talent, Development & People Analytics Officer. You will orchestrate time and information flow, elevate meeting and communication quality, and run day to day operations that keep the function moving at pace. The role demands exceptional judgment, discretion, and anticipation in a fast moving, globally connected environment.
KEY ACCOUNTABILITIES:
1) Time & cadence orchestration
• Lead end to end calendar strategy across time zones; prioritise against enterprise and functional goals; pre empt and resolve conflicts; protect focus time and travel buffers.
• Coordinate team scheduling and critical talent/governance cadences where needed.
2) Executive communications & inbox leadership
• Own inbox triage: distil incoming requests; maintain actions and follow ups to closure.
• Prepare briefings, talking points and backgrounders for internal/external meetings.
• Provide direct administrative support to the Chief Talent Officer, including handling confidential information with professionalism. Schedule group meetings and support travel and events to the VPs in the team when needed.
• Calendar Management: Manage multiple executive calendars, schedule meetings, anticipate and resolve scheduling conflicts, and prioritize key topics to ensure optimal time allocation. Continuously monitor and adjust schedules to accommodate shifting priorities, communicating changes promptly.
3) Meeting production & decision hygiene
• Work with PMO lead to design agendas, curate pre reads/board or HRLT packs, capture decisions and actions, chase owners, and track outcomes. (Virtual and in person; Teams webinars as required.)
4) Travel & events
• Orchestrate complex, multi stop travel (visas, logistics, risk awareness) with cost consciousness; prepare itineraries and packs; submit expenses per policy.
• Plan and deliver team offsites, leadership meetings and special events end to end (venue, logistics, agendas, comms, run of show). Closely working with PMO.
5) Procurement, expenses & controls
• Raise and receipt purchase orders in Coupa; track invoices; liaise with vendors/Finance; ensure spend complies with Unilever T&E/Expense policies and local approval thresholds. (
6) Stakeholder & information flow
• Act as first point of contact and ambassador for the office; manage relationships across HRLT, Finance, Comms, vendor partners and external stakeholders; uphold confidentiality and business integrity at all times.
7) Tools & knowledge systems
• Run a simple knowledge base for recurring cadences, templates and checklists; ensure files are organized and accessible in SharePoint/Teams.8) Confidentiality & integrity: zero incidents. (Aligned with Unilever's Code and policies.) []
QUALIFICATIONS
Required
• 10+ years' experience supporting senior executives in a global corporate setting.
• Mastery of complex calendar/travel across time zones; outstanding organisation, judgment, and follow through.
• Excellent written and verbal communication; confident drafting on behalf of executives.
• High discretion and integrity handling sensitive information.
• Ability to work independently and proactively anticipate executive needs.
• Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint, Excel).
Preferred
• Experience with Coupa (POs/invoicing) and familiarity with T&E/Expense policy compliance.
• Corporate event planning and "live" virtual meeting production (Teams webinars).
• Comfort with AI tools (e.g., Copilot) to accelerate drafting, scheduling, summarising and follow ups.
• Experience supporting HR/Talent/People Analytics leaders (nice to have).
NOTES
Location
In September 2020, Unilever announced the intention to build a new sustainable campus site in Kingston, London. This site will house some employees who currently work in 100 Victoria Embankment in Blackfriars together with colleagues who are currently located in Lever House in Kingston. Recruitment Fraud
Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money. In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs. These types of attacks are becoming more common as more people are looking for employment in the economic climate.
How is Unilever tackling this?
Many of Unilever's recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.
