Who we are
A fast-growing boutique financial planning practice founded by Nick Raynor, Lead Advisor and Partner of St James' Place (industry recognised wealth management company), providing financial advice to support our clients' in designing and managing their future wealth, from pensions, to protection policies and investments.
We are a small team, looking to expand both the administrative and advisory capacities of the practice, following our biggest year yet in both growth and performance, with a view to continuing this upward trend into next year and beyond. We believe it is an exciting time to be joining the team and becoming a part of the journey in making our impact even bigger.
About the role
As a Senior Practice Administrator, you will support the Lead Financial Advisor, and Financial Advisors, as well as work alongside the Lead Practice Administrator, to deliver and execute on processing client cases and the administrative efforts and tasks associated with these.
This role will also involve liaising directly with clients, our counterparts within St James' Place, and associated third party organisations (e.g. pension providers) to address the needs of our clients and make sure their experience is excellent.
The role provides the opportunity for growth and development within the company, and so we are looking for someone who is future-focused and eager to develop their knowledge and skillset, who isn't put off by a challenge, and who will make a positive contribution to the team. Whilst experience in a similar role is preferred, you will receive full training if successful.
What you will do
Providing administrative support to the practice financial advisors to process and manage client cases, including for example pension transfers and contributions, investment ISA preparation, and set up of protection policies. Specific administrative duties include:
· Preparing letters of authority and collecting policy information
· Packaging suitability reports for distribution to clients
· Processing new business applications, fund switches, and withdrawals
· Assisting in the production of relevant paperwork such as review questionnaires, valuations, letters to clients and providers
· Contacting clients by phone, email, and post to arrange annual review meetings
· Liaising with St James' Place counterparts and third parties accordingly
· Tracking cash balances and arranging cash movements
· Maintaining client records in our financial systems / databases (e.g. Salesforce)
· Reporting regularly on progress internally within the practice, and proactively managing stakeholders as part of this to ensure ongoing alignment of priorities and delivery of needed outcomes with the wider team
Desired skills and experience
· Minimum of five years working in an administrative capacity, within the financial planning industry or other similar industries that are heavily regulated, client-facing and service-based
· Highly communicative able to proactively manage stakeholders, as well as maintain transparency of work and progress
· Able to work well as part of a team, and independently when required
· Client-centric in approach, always wanting to go above and beyond for clients to provide an excellent service; good at building relationships
· Efficient, diligent and action-orientated in how you work, with a keen eye for detail, comfortable with managing multiple priorities at once, and taking tasks through to completion and execution
· Comfortable providing challenge if you see there is a smarter way we can operate, improving and optimising existing processes as part of this
· A self-starter, with a proactive can-do attitude, that is keen to make a tangible impact, and has a keen interest in helping the business to grow.
Job Type: Part-time
Pay: £19,500.00-£21,500.00 per year
