Excelsior Hospitality International (EHI) is a dynamic international hospitality and property development group with operations in Malta, the UK, Jamaica, and the Philippines. Our UK portfolio includes a collection of historic and distinctive properties currently undergoing transformation, growth, and operational renewal.
We are seeking a highly organised, trustworthy, and experienced HR & Admin Manager to lead the HR function for the UK estate and support general administrative and financial coordination. This dual-role position offers a rare opportunity to help shape the foundation of our UK operations while aligning closely with the EHI Group’s evolving strategy and values.
You will work closely with the Director of Operations UK and collaborate with the CCDO and Group Financial Controller, taking full responsibility for day-to-day HR matters while also providing reliable administrative and operational support.
Key Responsibilities:
· Set up and manage HR functions across the UK properties, aligned with EHI Group policies and UK employment law.
· Build and maintain robust HR systems and processes, including compliance records and onboarding structures.
· Manage recruitment, contracts, onboarding, training coordination, and exit procedures.
· Maintain accurate employee files, right-to-work checks, and staff documentation.
· Oversee payroll data, including timesheets, T&A tracking, rosters, and monthly payroll computations.
· Provide daily HR support and advice to managers and team members across the estate.
· Handle employee relations, performance management, grievance and disciplinary matters, and staff development planning.
· Ensure local compliance with safeguarding and staff welfare protocols.
· Liaise with Group-level HR leadership (CCDO) to implement strategic people initiatives and HR reporting.
· Liaise with advisors and relevant parties to complete Health & Safety risk assessments and ensure compliance with local requirements.
· Act as a key administrative support to the Group Financial Controller for:
o Document control, filing, and internal approvals.
o Vendor and employee paperwork and coordination.
o Tracking invoices, receipts, and payroll adjustments.
o Coordinating reports and records from the UK properties.
· Support general office administration including supplies, correspondence, system access, and coordination between property-level and group teams.
· Maintain accurate logs and records for audits, compliance, and reporting purposes.
· Maintain a calendar of UK government filing deadlines (e.g. VAT, employment tax, ICO) and support timely submissions in coordination with the Group Financial Controller.
· Liaise with external suppliers, contractors, and local authorities as needed.
· Maintain a register of hospitality-related licences, renewals, and compliance actions for each property.
· Handle sensitive information with discretion and ensure GDPR compliance across HR and Admin functions.
About You :
· Minimum 5 years’ experience in an HR Manager, Senior HR Generalist, or HR & Admin role, preferably in hospitality, leisure, or multi-site organisations.
· Solid understanding of UK employment law and HR best practices.
· Experience managing payroll processes and T&A systems, ideally in hospitality or similar sectors.
· Strong administrative, coordination, and record-keeping skills; highly organised with good attention to detail.
· Confident building HR systems and processes from scratch, with a proactive and practical mindset.
· Excellent communication and interpersonal skills; comfortable liaising with executives, line managers, and frontline teams.
· High levels of discretion, professionalism, and initiative.
· CIPD qualification (Level 5 or above) preferred.
· Previous experience supporting finance or operations teams with admin duties is an advantage.
· Safeguarding awareness and willingness to undergo relevant training is essential.
