The Role As part of our ongoing expansion, we are looking to appoint a Document Controller to support the efficient management of project information across several active construction projects. Working closely with Project Managers, Design Teams, Commercial Teams, and site teams, you will be responsible for ensuring all project documentation is controlled, accurate, and accessible, supporting the successful delivery of projects from design through to handover. This role will be essential in upholding high standards of information management aligned with BIM principles, utilising Procore as the company’s main document management system. Highly organised and detail-oriented, you will find it easy to manage multiple projects, ensuring information is issued, tracked, and maintained in a clear and auditable manner. Key Duties and Responsibilities Document Control & Information Management Manage the control, distribution and filing of all project documentation including drawings, specifications, RFIs, submittals and technical information Maintain accurate document registers, trackers and logs Ensure all documents are correctly named, formatted and version controlled Issue documentation to internal and external stakeholders in a controlled and auditable manner Support the preparation and compilation of handover documentation including O&M Manuals and H&S Files Procore & System Management Act as the main point of contact for document control within Procore Set up and maintain project folders, workflows, permissions and document registers Support project teams with day-to-day use of the system, including uploads, searches and reporting Provide onboarding and refresher training to ensure consistent system usage Monitor workflows, highlighting overdue actions or missing information Change Control & Design Information Support the management of design changes and maintain change control trackers Coordinate and manage RFIs, tracking responses and ensuring timely close-out Ensure updated and approved information is clearly communicated to project and site teams Assist with design review documentation and coordination Quality Assurance & Compliance Ensure document control processes align with company procedures, project requirements and BIM principles Carry out regular audits of project documentation to ensure accuracy and compliance Support the delivery of consistent and traceable project information Project & Site Support Provide ongoing support to Project Managers and site teams Ensure teams have access to the latest approved information at all times Coordinate document queries between internal teams, subcontractors and consultants Attend site when required to support system usage and compliance Skills & Experience Required Essential Proven experience as a Document Controller within the construction or fit-out sector Strong working knowledge of Procore (or similar document management systems) Understanding of BIM information management principles Excellent organisational skills with strong attention to detail Strong written and verbal communication skills Ability to manage multiple workstreams in a fast-paced environment Proficient in Microsoft Office (Word, Excel, Outlook) Desirable Experience working on commercial or complex construction projects Knowledge of ISO 9001 quality management systems Experience compiling O&M Manuals and Health & Safety Files Experience supporting BIM-led projects Qualifications BTEC, HNC/HND or Degree in Construction Management, Building Studies, Architecture or a related discipline Previous experience in a document control role within construction What JJ Rhatigan Can Offer You Opportunities to work on high-profile UK projects Competitive salary and benefits package Clear career progression and ongoing training and professional development JJ Rhatigan & Company is an equal opportunities employer.
