An exciting opportunity has arisen for a part time (24 hours per week) office administrator within our administration team.

Please note our service operates a 7 day service through rota, this role will include weekend working.
ROLE PURPOSE
To be the responsible person for all administrator tasks within the office environment for a 7 day a week service. Ensuring the highest level of confidentiality at all times with sensitive information.
To be the point of contact for all staff within the home for administrative tasks and play a primary role ensuring that all office administrative functions are coordinated to achieve a high level of productivity within the company. Supporting relatives and visitors to the home in a professional capacity.
3. MAIN DUTIES & RESPONSIBILITIES
* Point of contact at reception, via e-mail, digital platforms and on the telephone in a professional and friendly manner.
* Receive and redirect mail, phone calls, packages, etc.
* Ensure that the office environment is clean and tidy at all times.
* Act as a liaison between visitors, staff and any department necessary including but not limited to the kitchen, housekeeping, maintenance, office & management.
* Maintains an open line of communication with relatives, residents, staff and management.
* Builds and maintains supportive relationships with relatives, residents, staff and management.
* Anticipate staff/management needs in order to accommodate them and provide an exceptional administration service.
* Works collaboratively with external resources.
* Delivers outstanding customer service when handling inbound/outbound calls, e-mails, staff and management queries.
* Has knowledge of all essential aspects of our organisation.
* Maintain a positive and professional attitude.
* Supports management, delivering communication on a daily basis.
* Supports the management/staff with administrative tasks including minute taking and creation of documentation.
* Maintains office inventory and stock of supplies ensuring that there is always ample stock for business needs.
* To ensure consistent QME Care branding through all workstreams.
* To ensure the maintenance and updating of computerised record systems to minimise any potential disruption to the business.
* To assist the training team with the administration and recording of training.
* To participate and take part in staff or business meetings as and when required ensuring that full minutes are taken and recorded for future reference.
* To be fully conversant and act in compliance with policies and procedures.
* To support staff and management with technical queries relating to printers, laptops, tablets, mobile phones and computer systems where possible.
* Use of shared platforms such as sharing files and ensuring that any changes to documents are done in a timely manner to minimise disruption
* To support staff and management with daily ad-hoc requests. such as prescription requests, the supply of medical forms, medical supplies, stationary requests, uniform requests, rota changes, laminating of important documents, filing, archiving, scanning, purchase invoicing, inputting incidental information, handling petty cash, creating signs and other ad-hoc requests as required.
