This role is essential in ensuring the smooth operation of our office and providing excellent support to both staff and clients. The ideal candidate will possess strong administrative skills, be proficient in various software applications, and have a customer-focused mindset. Familiarity with the ECO4 Scheme and energy efficiency-related processes will be considered an advantage.
Duties
* Manage front desk operations, including greeting visitors and handling inquiries.
* Operate multi-line phone systems, ensuring effective communication with clients and staff.
* Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
* Provide clerical support, including filing, proofreading documents, and managing correspondence.
* Assist with calendar management for scheduling appointments and meetings.
* Utilize QuickBooks for basic bookkeeping tasks as needed.
* Support customer service efforts by addressing client concerns and providing information.
* Maintain organization within the office environment, ensuring all supplies are stocked and accessible.
* Demonstrate proficiency in Microsoft Office Suite and Google Workspace for document creation and management.
* Exhibit strong time management skills to prioritize tasks effectively in a fast-paced environment.
* Assist with administrative tasks related to ECO4 Scheme documentation, compliance, and reporting where required.
Qualifications
* Previous office experience is required; administrative experience preferred.
* Familiarity with front desk operations and phone etiquette is essential.
* Knowledge or awareness of the ECO4 Scheme is desirable.
* Bilingual candidates are highly desirable to enhance communication with diverse clients.
* Strong computer skills, including proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools (Docs, Sheets).
* Excellent organizational skills with the ability to manage multiple tasks simultaneously.
* Typing proficiency with attention to detail for accurate data entry.
* Experience as a dental receptionist or medical receptionist is a plus but not mandatory.
* Personal assistant experience is beneficial for managing schedules effectively.
* A commitment to providing exceptional customer support while maintaining professionalism at all times.
