Objective
To provide administrative support to the Destination, including financial management, business management, and statistical information, and to deputise for the Finance & Data Manager when needed. The role also supports the management team in effective Destination operations.
Primary Purpose
To develop and contribute to the asset management strategy and business objectives, ensuring high standards of onsite management and care, maintaining the Destination as a safe, desirable environment for trade, shopping, visiting, living, and working.
Key Responsibilities
* Support the Finance & Data Manager in data and finance responsibilities within the Destination.
* Manage service charges, including invoice processing, budgeting, expenditure, and reconciliation.
* Maintain budget records, track invoices and purchase orders, and report expenditure.
* Administer systems like Proactis, footfall, and car park info to produce accurate accounts and statistical reports.
* Participate in the Management Team, shaping strategic vision.
* Develop procedures to improve efficiency and savings in service charge management.
* Oversee car park financial performance and reporting with senior management.
* Understand P&L components of the car park budget and propose initiatives for efficiency.
* Support health & safety compliance and safety standards enhancement.
* Refine procedures for optimal financial management.
* Manage data reporting systems for footfall, sales, car park, and environmental data, ensuring timely and accurate reports.
* Ensure compliance with energy procurement, ISO45001, ISO14001, and manage utility costs without compromising service quality.
* Perform other duties as necessary.
Essential Skills and Experience
* At least 3 years of administrative experience.
* Ability to innovate and implement new systems and processes.
* Proven administrative skills.
* Effective communication at all levels.
* Strong analytical skills.
* Team player mentality.
* High IT literacy, especially in Microsoft Office.
* Organized and meticulous approach.
Desirable Qualifications
* AAT or A-level standard (UK) - Third Level Qualification.
* Knowledge of GDPR.
