Shipping Assistant - Supply Chain Function
Location: East Grinstead
Pay Rate: £13.46 per hour
Shifts: Monday - Thursday 8.15am to 5pm, Friday 8.15am to 3pm
We are currently seeking a highly organized and detail-oriented Shipping Assistant to support the deliverables in the supply chain function at our East Grinstead site. The Shipping Assistant will play a critical role in ensuring the smooth and efficient operation of our shipping processes, including handling shipping documentation, global trade compliance, customer invoicing, legalised documentation, delivery orders, cycle counting, proof of delivery management, and working closely with freight forwarders.
Responsibilities:
Manage and maintain shipping documentation, ensuring accuracy and compliance with regulatory requirements.
Ensure adherence to global trade compliance regulations, including import/export regulations, customs documentation, and licensing requirements.
Collaborate with internal teams to generate and process customer invoices accurately and in a timely manner.
Coordinate the legalisation of necessary shipping documents, such as certificates of origin, commercial invoices, and other export-related paperwork.
Prepare and process delivery orders, ensuring proper documentation and coordination with carriers.
Assist in cycle counting activities to maintain accurate inventory records and support inventory control processes.
Manage proof of delivery documentation, ensuring timely collection and verification.
Work closely with freight forwarders to coordinate shipping schedules, resolve any shipping-related issues, and monitor freight costs.
Provide support to the supply chain team in various administrative tasks, as required.Requirements:
High school diploma or equivalent; additional qualification in supply chain management or logistics is a plus.
Proven experience in a shipping or logistics role, preferably within a supply chain function.
Strong knowledge of shipping documentation, global trade compliance regulations, and legalisation requirements.
Familiarity with customer invoicing processes and proficiency in relevant software applications.
Excellent attention to detail and organizational skills to manage multiple tasks and priorities effectively.
Strong communication skills, both written and verbal, to liaise with internal teams, freight forwarders, and other stakeholders.
Proficient in using MS Office Suite (Word, Excel, Outlook) and other relevant software applications.
Ability to work independently and collaboratively within a team environment.
Prior experience with ERP systems and freight management software is advantageous
