Executive Assistant & Office Manager (f/m/d)
Your Responsibilities:
Executive Assistant to the General Manager:
* Manage and maintain the General Manager’s schedule, including meetings, travel arrangements, and appointments.
* Prepare, proofread, and edit correspondence, reports, and presentations for internal and external use. Conduct research, compile data, and prepare briefing materials to support decision-making.
* Organize and coordinate ad-hoc meetings on or off site, including agenda preparation, minute-taking, and follow-up on action items.
* Assist with confidential and sensitive matters with a high degree of professionalism and discretion.
* Manage and prioritize incoming communications (emails, calls, meeting requests).
* Support strategic initiatives and special projects as assigned by the General Manager.
Follow-up and Commercial Support for the General Manager & sales team:
* Oversee process from initiation to signature of external agreements (supply agreements, confidential disclosure agreements etc.).
* Gather feedback from department heads as required during contract and supply agreement review processes.
* Coordinate input from account managers and aggregate data for key business unit exercises running monthly or yearly (budgeting, latest estimates, forecasting, etc.).
* Provide ad-hoc coordination and follow-up support for key commercial initiatives across the business unit, hand in hand with sales teams & sales support.
Office Management:
* Oversee daily office operations, ensuring a clean, organized, and fully functioning work environment.
* Manage office supplies, equipment, and service provider relationships
* Organize, review, and renegotiate contracts with facility service providers as needed.
* Serve as the primary point of contact for vendors, facilities management, and service contract providers.
* Ensure optimal customer visits to the office, managing as required logistics.
* Work closely with the designated Fire Warden(s) and First Aider(s) to maintain health and safety standards within the office.
* Support the on-boarding and off-boarding of employees, including IT setups, workspace preparation, sharing of key policies & contacts, and general orientation.
* Help draft, implement, and maintain policies related to office use and visitor management.
* Monitor and manage office budgets, including expense reporting, procurement activities, and posting invoices for payment processing with the finance team.
* Identify areas for improvement or investment to enhance collaboration, effectiveness, and the overall employee and guest experience in the office.
Your Profile
* Valid right-to-work status in the UK at the time of application.
* Minimum 2 years’ experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership.
* Minimum 3 years’ experience in office management, facilities coordination, or workplace administration.
* Completely fluent in English. Some understanding of French will be a plus.
* Bachelor’s degree preferred or equivalent professional experience.
* Professional certifications or qualifications in applicable fields (Project management, facilities management, executive planning etc.) will be a plus.
* Existing training or interest in being a Fire Warden or First Aider will be a plus.
* Proven experience in handling confidential information with discretion.
* Strong track record of managing complex calendars, coordinating travel, and organizing meetings or events.
* Experience liaising with vendors, service providers, and external partners in a facilities management capacity.
* Familiarity with basic finance/admin duties: handling budgets, processing invoices, expense reporting.
