We are looking for an enthusiastic receptionist to join our team. A friendly, professional manner is a must along with good customer service skills. A proven record of team working, along with good computing skills and a flexible approach to work are essential.

Job Summary
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Job Responsibilities
Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice. Deal with all general enquiries, explain procedures and make new and follow‑up appointments. Communicate test results using taught skills and ensuring accuracy. Alert management on patient records. Use own judgment and communication skills to ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non‑disruptive manner. Be aware of surroundings and of the patients in the waiting room. Be aware of which doctors and nurses are currently working in the building and whether they have arrived for their clinics. Observe clinics running late, advise patients waiting and offer apologies. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed. Receive and make telephone calls as required. Phones must be answered within 6 rings. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. Be polite and helpful at all times. If a patient’s behaviour becomes unacceptably abusive refer the call to your line manager. Keep the working environment clean, tidy and free from clutter. Provide an efficient, professional and detailed handover to the member of staff taking over before you leave your duty. Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually. Participate in task management and Docman tasks, keeping them up to date. Actively participate in practice training, which may occur outside normal working hours. Advise patients of relevant charges for private services, accept payment and issue receipts. Enter patient information on the computer promptly and accurately. Retrieve and re‑file records, maintaining strict alphabetical order. File correspondence, reports and results promptly, ensuring all recent correspondence is available when patients are seen. Keep records in good repair with all necessary information on the cover visible. Register all new patients onto the computer system on the same day they attend the practice.

In the course of seeking treatment, patients entrust us with sensitive information. We must respect their privacy and act appropriately. The post‑holder may access confidential information relating to patients, carers, practice staff and other healthcare workers, as well as business information. All such information is strictly confidential and may only be disclosed to authorised persons in accordance with practice policies and procedures.

The post‑holder will assist in promoting and maintaining health, safety and security, including using personal security systems, identifying and managing risks, updating knowledge and skills, following infection control procedures, keeping work areas tidy and safe, and reporting potential risks.

The post‑holder will apply practice policies, standards and guidance, discuss their impact with the team, and participate in audit where appropriate.
