Job Overview

The role supports the National Probation Service’s training team by delivering comprehensive administrative support, coordinating training events, analysing data, and liaising with stakeholders to ensure the quality delivery of probation qualifications.


Responsibilities

* Provide general administrative support for the Divisional Training Team, including photocopying, typing, amending and processing documents, minute taking and responding to queries.
* Act as Local Training Coordinator to administer training events on HR systems, ensuring learner records are up to date and produce required reports.
* Liaise with other L&D teams to organise venues for local and national training and monitor take‑up of training delivered by the Divisional Training team.
* Analyse training attendance and completion information to produce reports for the Divisional Training Manager, aiding deployment of resources.
* Assist business managers and divisional hubs to promote attendance and advise on learning and development activities.
* Maintain divisional records on behalf of the National Centre, adhering to national practices using the eportfolio system to register learners on qualifications.
* Provide the Divisional Training Manager and National Centre with updates on learner progress, claim certificates for completions, and census information to inform invoices.
* Liaise with the National Centre to prepare for External Quality Assurance inspections and maintain Awarding Body compliance.
* Develop and maintain comprehensive electronic and manual filing systems to support the team and efficiently store and retrieve key data.
* Coordinate and schedule national and local learning events, producing timetables of upcoming training and communicating with staff.
* Create and maintain relevant databases, ensuring accuracy and routine quality assurance.
* Contribute to continuous improvement of administrative systems, processes and workflows.

Essential Experience

* Previous administration experience and experience of providing a wide range of management support activities.
* Proficiency in Excel to produce spreadsheets and present data in an accessible format.
* Evidence of providing support and assistance to colleagues in delivering a quality service.


Desirable Experience

* Experience of effective communications.
* Experience of making successful critical decisions.
* Operational experience working in a Probation setting.


Technical Requirements

* NVQ Level 2 or equivalent.
* RSA III (gained or working towards) or equivalent qualification such as CAIT Advanced.
* GCSE Grade A‑C in English and Maths (or equivalent).


Relevant Skills & Tools

* Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and equivalent (e.g., Lotus Notes).


Working Arrangements & Further Information

Hybrid working arrangements are offered where business need allows. The role is based within the UK and suitable arrangements will be discussed with successful candidates.
