Project Administrator
Wolviston Management Services are delighted to be supporting our client in the appointment of a Project Administrator to join their project team on site.
This is a key support role within a live project environment, providing comprehensive administrative and coordination support to Project Managers, Site Supervisors and wider operational teams. The position plays a vital part in ensuring projects run efficiently, compliantly and to the highest standards.
The Role
As Project Administrator, you will be responsible for delivering accurate, timely and well-organised administrative support across all aspects of the project lifecycle. You will act as a central point of coordination for documentation, timesheets, reporting, meetings and site records, ensuring effective communication across departments and with clients.
Working in a fast-paced, safety-critical environment, attention to detail, organisation and professionalism are essential.
Key Responsibilities
Health, Safety, Environment & Quality
Ensure compliance with all company and project safety, health, environmental and quality procedures
Support SHEQ processes, including action and observation registers
Assist with daily site inspections, diaries and related documentation Project & Site Administration
Provide general office administration including typing, filing, photocopying and record management
Maintain accurate site records and internal server / client SharePoint documentation
Manage department documentation control and filing systems
Ensure cross-departmental communication is effective and accurate Timesheets & Reporting
Collate weekly site hours and prepare Excel-based timesheet workbooks
Submit timesheets in line with internal procedures and deadlines
Assist Project Managers with weekly and monthly project reports for client submission
Maintain accurate project, plant and cost codes for correct allocation and reporting Meetings & Coordination
Arrange and support weekly and monthly internal and external meetings
Collate agendas, minutes, reports and presentations
Maintain a daily diary for submission to the line manager HR & Training Support
Assist with HR and training documentation as required
Support site inductions for new starters and visitors, maintaining induction spreadsheets
Assist with new starter documentation, including starter packs, contracts and role information
Support uploading of holiday and absence forms Additional Duties
Assist with site QA and TQ documentation
Support site waste tracking, including collation of tickets and duty of care notes
Provide day-to-day administrative support to Site Supervisors and Operations Support teams
Contribute positively to achieving overall project objectives About You
Proven experience in a site-based or project administration role
Highly organised with exceptional attention to detail
Confident using Microsoft Office, particularly Excel and Word
Comfortable working in a busy, multi-disciplinary project environment
Strong communication skills with the ability to liaise effectively across teams
Proactive, reliable and able to manage multiple priorities
