We are seeking an experienced and highly organised Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be proactive, detail-oriented, and capable of handling a wide range of tasks with precision and professionalism. The Executive Assistant will play a pivotal role in ensuring the smooth operation of the executive's office, allowing them to focus on strategic decision-making and core responsibilities.
Job Description
1.
Calendar Management:
o Manage the executive's schedule, including scheduling and coordinating meetings, appointments, and travel arrangements.
o Ensure that the executive is well-prepared for all meetings and events by providing necessary materials and briefings.
2.
Communication and Correspondence:
o Handle incoming emails and correspondence, drafting responses and filtering priority items.
o Screen and prioritise phone calls, taking messages or redirecting as appropriate.
3.
Travel Coordination:
o Arrange domestic and international travel, including flights, accommodation, and ground transportation.
o Prepare travel itineraries and ensure all travel-related documents are in order.
4.
Administrative Support:
o Prepare, edit, and proofread documents, reports, presentations, and memos.
o Manage and maintain important documents and files, ensuring accessibility and organisation.
o Assist in the preparation and coordination of board meetings, conferences, and other events.
5.
Expense Management:
o Track and reconcile expense reports, ensuring accuracy and compliance with company policies.
6.
Information Management:
o Maintain confidentiality and handle sensitive information with discretion.
o Keep the executive informed of important internal and external updates.
7.
Project Support:
o Assist with various projects and initiatives as assigned by the executive team.
o Collaborate with other team members to ensure project deadlines and goals are met.
The Successful Applicant
* Proven experience as an Executive Assistant or similar role, with a track record of supporting senior executives.
* Strong organisational and time-management skills, with the ability to multitask and prioritise effectively.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite and other relevant software.
* Exceptional attention to detail and problem-solving abilities.
* Discretion and professionalism when handling sensitive information.
* Ability to work independently and as part of a team.
* Flexibility and adaptability to handle changing priorities and fast-paced environments.
* Bachelor's degree or equivalent experience preferred.
