Perm Role details as follow:
Title: Leasing Coordinator (Centralised)
Location: Head Office
Hours: 37.5 hrs (Mon-Fri 9-5:30)
Holiday: 25 plus BH
Salary: 33K
Key Tasks
New Enquiries
* Call all tickets within the 'New Enquiries' funnel - 24-hour KPI
* Notes to be left in HubSpot.
* Voicemail left and email issued if no answer.
* Ensure that tickets are moved along the pipeline.
* Aim is to qualify and schedule a viewing for the customer.
Waiting on Contact, Waiting on Us, Awaiting Viewing Booking, Call Later
* Call tickets within the above funnels to re-engage and schedule viewings.
* Notes to be left in HubSpot.
* Voicemail left and email issued if no answer.
* Ensure that tickets are moved along the pipeline or closed if no contact following several attempts.
* No tickets should be purple (no activity).
Viewing Booked
* Ensure that deals within this funnel are future viewings only.
* Liaise with site team for any viewings that are in the past to determine whether viewing occurred.
Viewing Complete
* Call viewings from previous day or over the weekend to follow up if the deal is labelled.
* Site teams will call any deals that are labelled 'Site Team'.
* Site teams should have already issued a follow up email on the day of the viewing.
* Call older deals that are labelled 'Leasing Central' or 'Didn't Attend' within this funnel to re-engage and answer any questions.
* Encourage offers.
* Notes to be left in HubSpot.
* No deals should be purple (no activity).
* Ensure that deals are moved along the pipeline or closed if no contact following several attempts.
Pending Reservation
* Check portal to determine whether reservation link has been issued.
* Call deals within funnel that have not been issued a reservation link, however, have shown interest via the website.
* Potentially add to 'Waiting List' or 'Call Later' where required.
Renewals
* Once Credit Control and Site Team have ticked to renew, reach out to the resident to commence the renewal conversation - Aim to contact 90 days before tenancy ends.
* Email should be issued from specific site email address with the site email address cc'd. The email should then be filed within relevant apartment folder.
* Change Negotiation Status.
* Check R2R on Rent Profile and populate column.
* Liaise with site team throughout, where necessary.
Additional Key Tasks

* Support the Marketing Team to implement engaging community building events for residents.

* Demonstrable experience and ability to use ICT packages i.e. Microsoft Word and Excel.

* Demonstrable experience of taking responsibility for own actions and development opportunities, maintaining high levels of integrity.
