The Deputy Workplace Manager (Technical) will support the Workplace Manager by managing members of the Workplace team, ensuring statutory compliance, overseeing planned and reactive maintenance activities and ensuring all documentation is adhered to and completed, enabling the organisation to carry out its core business across all office locations.
Responsibilities
* Oversee the completion of safety checks and audits across all Transport for Wales office locations (e.g. hazardous substances, fire safety, furniture safety checks, legionella checks etc.) by working with the Safety and Sustainability team to provide a safe environment for all colleagues and visitors.
* Provide a proactive planned and reactive maintenance service across all offices by leading and supervising members of the workplace team to support TfW's accommodation needs and day‑to‑day workplace management operations.
* Work closely with Finance business partners in reviewing and maintaining budgets by managing the operational budget for St Patricks House and One City Place Chester offices to ensure operational costs do not exceed forecast budgeted costs.
* Maintain the maintenance of TfW's office portfolio by providing a fully comprehensive hard management service ensuring statutory compliance is adhered to across all TfW office locations and other occupiers and visitors using the company's offices to provide a first‑class service to meet their needs.
* Manage and maintain records relating to statutory compliance, planned and reactive maintenance, accommodation and workplace management by overseeing the senior Workplace Co‑ordinator, workplace coordinators and providing the necessary support, ensuring that all required documents are completed accurately to provide a clear audit trail.
* Maintain own professional development and stay abreast of regulatory changes by researching areas of development and best practice to ensure best practice is applied to TfW.
* Oversee contractors at the office locations by liaising with and collating reports on performance and cost (e.g. hard services contractors, maintenance workers) to ensure TfW achieves value for money and all works are undertaken following Risk Assessment and Method Statements (RAMS) and Permit to work processes. (This will require an element of attendance out of normal working hours.)
Qualifications
* Demonstrable hard service experience, working in a similar role and developing relationships with internal and external stakeholders.
* Relevant experience in Planned Preventable Maintenance (PPM) and statutory compliance.
* Demonstrable experience of managing or supervising a team.
* Hold NEBOSH qualification(s) or be willing to undertake training (within 18 months).
* Experience of managing hard services across multi‑site locations and over a large geographical area.
