Medical Education IMT & GP Programme Coordinator

Epsom and St Helier Postgraduate Medical Centre (PGMC) offers a comprehensive educational programme for doctors in training as well as activities to support the Continuous Professional Development (CPD) of locally employed doctors (LEDs), medical consultants and General Practitioners (GP).
To provide high-quality administrative and operational support to the IMT and GP Training Scheme and Primary Care education programmes in accordance with NHS, Trust, KSS and NHS England (London and Southeast) standards. The post holder will ensure effective coordination of training activities, excellent customer service, and accurate maintenance of training records.
Main duties of the job
Key Duties and Responsibilities
Administrative and Programme Support
Provide comprehensive administrative support to IMT and GP Training Programme Directors.
Maintain accurate training databases, e-portfolios, and electronic records.
Liaise with NHS England/KSS regarding trainee allocations and rotations.
Administer GP and Local Faculty Group meetings, including agendas, minutes, and action tracking.
Assist with the administration of the Single Employer Acute Trust (SEAT) scheme in liaison with Medical Workforce.
Coordinate educational programmes, events, and study days including speakers, venues, and catering.
Process invoices and support timely payments in line with Trust financial procedures.
Education and Training Delivery
Support delivery of GP and Primary Care CPD programmes in line with national and local guidance.
Update GP training information pages on the Trust website.
Coordinate conference and teaching resources, including audiovisual equipment.
Provide technical and administrative support for virtual learning using MS Teams.
Front of House and Customer Service
Manage the electronic room booking system for the Postgraduate Medical Education Centre.
Prepare teaching rooms to required standards and layouts.
Provide a professional and welcoming front-of-house service to all users.

Person Specification
Education & Qualifications
* GCSEs including Maths and English
* Further training or qualifications in administration, education, or healthcare
Experience
* Administrative experience in an educational or healthcare environment
* Experience of providing excellent customer service
* Experience of working in a medical education or NHS setting
Knowledge and Skills
* Excellent organisational and time management skills
* Strong communication skills, both written and verbal
* Proficiency in Microsoft Office, particularly Word and Excel
* Experience using online teaching platforms (MS Teams)
* Knowledge of e-learning systems and medical education structures
* Experience of minute taking, report writing, and data management
